Position Overview
The Service Advocate is a reliable and detail-oriented support associate assisting our front-line client advocates, financial advisors, and tax professionals. This role focuses on non-client-facing, value-added tasks that enhance operational efficiency. Responsibilities include updating client information, managing forms, assisting with initial client onboarding, and working on data clean-up projects. You will ensure the smooth execution of internal processes, helping the team maintain high standards of accuracy and timeliness.
Key Responsibilities
- Client Data Management: Regularly update and maintain client information in internal systems, ensuring accuracy and completeness.
- Form Creation & Distribution: Prepare, distribute, and track forms related to client accounts, tax services, and financial planning, ensuring timely delivery and proper documentation.
- Client Setup: Assist with the initial setup of new clients, organizing their information in systems and ensuring data consistency across platforms.
- Database Clean-Up: Participate in periodic data clean-up projects, ensuring the integrity of client and firm data within internal systems.
- Support Front-Line Advocates: Provide operational support to client-facing associates by handling essential tasks that allow them to focus on client-facing issues.
- Task Coordination & Process Improvement: Ensure tasks are completed on time and communicated efficiently and appropriately.
- Operational Excellence: Identify and implement process improvements that can enhance the accuracy and efficiency of middle office tasks.
Qualifications
- Bachelor’s degree in finance, business, or a related field is preferred.
- 1-3 years of experience in the financial services industry.
- Strong interpersonal and communication skills with the ability to effectively interact with clients and colleagues.
- Detail-oriented with excellent organizational and time management skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook)
- Strong problem-solving skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Strong technical aptitude to facilitate daily work and ability to learn required software applications quickly.
- Series 65 certification is a plus.
