About the Job:
The Administrative Assistant will provide support to our team and contribute to the smooth operation of daily administrative functions. This role is responsible for managing office tasks, scheduling meetings, preparing documents, and assisting with a variety of office functions to ensure efficiency and productivity within the department.
Key Responsibilities & Accountabilities:
General Administrative Support: Provide administrative support to managers and team members, including scheduling meetings, handling phone calls, and maintaining office supplies.
Document Preparation: Assist with the preparation and formatting of documents, reports, presentations, and correspondence for internal and external communication.
Calendar Management: Schedule and coordinate meetings, appointments, and events for team members, ensuring optimal time management and efficiency.
Data Management: Maintain and update databases, spreadsheets, and filing systems to ensure accurate and organized record-keeping.
Customer Interaction: Respond to emails, phone calls, and inquiries from customers or clients, providing excellent customer service and assistance when needed.
Travel Coordination: Assist in booking travel arrangements for team members, including transportation, accommodations, and itineraries.
Office Organization: Support the organization of office functions, including filing, organizing supplies, and maintaining office equipment.
Collaboration with Other Departments: Work closely with various teams and departments to ensure smooth communication and completion of company objectives.
Assist with Special Projects: Provide support for special projects or initiatives, including conducting research, compiling data, or preparing project-related documents.
Qualifications:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in a related field is a plus.
Minimum of 2 years of experience in an administrative or office support role.
Excellent verbal and written communication skills.
Strong organizational and time management abilities with attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Ability to manage multiple tasks simultaneously and work independently.
Positive attitude with a strong customer service focus.
Ability to maintain confidentiality and handle sensitive information appropriately.
Strong interpersonal skills and the ability to work well with various stakeholders across departments.
Bilingual English/Spanish required
