Overview
The Brokerage Assistant will support a team of brokers administratively. Desired candidate should be a flexible team player able to work within a group and individually; a self-starter, who takes initiative, with natural tendency to want to work through challenges and utilize new tools with great attention to detail. Candidate must be able to thrive in a fast-paced environment and work with a variety of personalities.
Responsibilities
- Prepare listing agreements, leases, purchase contracts and other miscellaneous agreements
- Process various line items on checklists, which may include updating listing sites and social media posts
- Enter completed lease & sales transactions within brokerage financial system
- Answer telephones and direct calls to appropriate team members
- Perform basic office functions (ex. fax, scan, email, mail, etc.)
- Assist with other administrative needs and special projects as needed by brokers
- Collaborate with Marketing to prepare customized marketing campaigns and events
- Manage team listings in a variety of publications and on-line databases
- Assist Marketing with listings in Avison Young's website listing feed platform
- Under supervision of Marketing, create marketing emails and maintain email schedule for property listings
- Work directly with Marketing and assist with the creation of marketing materials and content while maintaining the Avison Young brand throughout all projects. Marketing materials and content will include the following: brochures, presentations, proposals, e-blasts, invitations, press releases, social media postings, etc.
- Such other duties as the Managing Director of the office from time to time may reasonably request you to perform.
Qualifications
- High School Graduate
- College Degree, preferred but not required
- If no College Degree, must have administrative experience
- Advanced Computer Aptitude
- Microsoft Office – Excel, Word, Outlook, PowerPoint
- CRM System (helpful – not required)
- Additional Skills Required:
- Strong communication and interpersonal skills
- Ability to meet deadlines, prioritize tasks and work well under pressure
- Exceptional problem solving and attention to detail
- Excellent grammar and writing skills
- Math computations
- Capacity to read and comprehend legal documents
