Job Summary:
The Staffing Coordinator ensures that all Home Care clients are serviced in an accurate, conscientious & timely manner with proper staffing of appropriate personnel; also may be directly involved in the recruitment and hiring process for the agency.
Responsibilities:
- Assign and schedule field staff to provide care and services for patients, in any “zone”, as directed by the Program Coordinator. Ensure that all staff have the necessary information to properly care for the client, including but not limited to, demographic information, directions, stated needs or requests and care plan whenever possible.
- Answer phone calls from field staff and patients; appropriately handle or refer the call and document follow-up, and/or resolution of the situation. Responding promptly and courteously to all patient/client inquiries or problems. As well as getting the Program Coordinator involved whenever necessary.
- Provide patients or families with accurate schedules no less than monthly and follow-up regarding: coverage, call-offs and cancellation of staff and keeps the Program Coordinator appraised of all such issues and completes notes documenting resolutions within the computer system.
- Computer system reporting responsibilities, including but not limited to:
- Clinician Availability Updates & report to Program Coordinator
- Clockworks Exceptions Report & report to Program Coordinator
- Double Booked Report & report to Program Coordinator
- Incomplete Visit Report & follow up
- Confirm weekend schedules with care givers on Thursday.
- Confirm weekend schedules with clients on Friday.
- Schedules for Client & Clinicians & review with Program Coordinator
- Unassigned Orders Report & review with Program Coordinator
- Enter new clients and/or inquiries
- Tracking hours and attendance for all staff. Communicate issues and concerns to the Program Coordinator for follow-up and documents same with notes in the computer system.
- Ensure all shifts/visits are completed in the system accurately & timely, according to time sheets and clocking system reports in efforts to minimize payroll errors.
- Confirm all shifts weekly with clients (Friday) and clinicians (Thursday), with consideration for weekend availability and ensuring adequate back-up resources for new and unassigned clients. This is to be documented on the weekly weekend variance report, which is provided to the on-call staffer for their reference.
- Assist with hiring and orientation of new team members as directed by Program Coordinator and/or HR manager.
- Maintain confidentiality of all information in accordance with state/federal regulations, company policy and HIPPA requirements.
- Available for on-call via telephone to cover during weekends, holidays and after office hours
16, Be available by phone for all staffing concerns/questions.
- Act as emergency fill-in for all private duty clients.
- Be available to meet at a client’s home with new staff members to acclimate them to the surroundings and ensure adherence to company policies.
- Report to office by 8:00 am Monday following weekend on-call to enter notes, follow up on issues and give report.
20. Survey clients on patient care as directed by the manager.
Working Environment:
Works indoor in the Agency office and patient homes and may travel to/from homes.

Requirements
Qualifications:
- Experience in healthcare staffing, strongly preferred.
- Average to above average computer skills, including word processing and data entry.
- Must be a self-starter, pro-active person, able to work with minimal supervision
- Must be a team player dedicated to providing a high level of customer service, with a positive attitude
- Must be able to communicate effectively and possess well-developed interpersonal, organizational, and problem solving skills.
- Ability to effectively interact with all employees
- Ability to be well organized and prioritize effectively
Physical Requirements:
- Ability to participate in physical activity.
- Ability to work for extended period of time while standing and being involved in physical activity.
- Moderate lifting.
