Development Assistant


Department: Advancement & Community Engagement Classification: Non Exempt

Reports to: Department Director Status: Full-time

Location: Anchorage Revision Date: 2/14/2025


Position Summary: The Development Administrative Assistant provides administrative support for the Development Department, ensuring efficient donor database management, assisting with donor engagement efforts, coordinating special events, and supporting internal and external communications. This role plays a key part in donor stewardship, event logistics, and maintaining accurate financial and donation records.


Minimum Qualifications

  • GED or high school diploma
  • Associate's degree or two (2) years of experience providing administrative support
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
  • Strong organizational skills and attention to detail
  • Valid State of Alaska Driver's License

Minimum Experience

  • One-year experience in fundraising, donor relations, and event support, strongly preferred.
  • Experience with donor management software or CRM systems

Essential Functions

Donor Database Management:

  • Maintain and update donor records in CRM software
  • Generate reports, track donations, and ensure data integrity
  • Work collaboratively with the Finance Department to reconcile donation records
  • Generate acknowledgment letters and tax receipts in a timely manner
  • Assist with tracking and reporting social media, monthly, and special event emails

Donations and Stewardship:

  • Manage and maintain the donation room, ensuring organized inventory
  • Oversee in-kind donation processing, scheduling, and donor correspondence
  • Coordinate volunteer efforts
  • Solicit individual and corporate donation drives
  • Provide professional donor assistance and engagement
  • Assist in designing and implementing donor satisfaction evaluations and donor appreciation efforts.

Event and Communications Support:

  • Communicate with people outside the organization, represent the organization to donors, the public, and other external sources. This information may be exchanged in person, in writing, or by telephone or e-mail.
  • Assist with development-related events, including preparation, logistics, and execution
  • Support internal and external communications, including donor engagement efforts and social media coordination
  • Design and create print and digital media content as needed
  • Support photography and videography efforts for events and outreach
  • Manage hospitality arrangements, including vendor coordination for meetings and events

Administrative Duties:

  • Coordinate scheduling and logistics for Development Department meetings and events
  • Create, review and edit written materials.
  • Process and distribute incoming donations and related correspondence
  • Conduct market research on department related trends, donor requests, and community engagement needs.
  • Assist with general office administrative duties, including mail processing and office organization

  • Possess critical thinking and problem-solving skills with a solution-focused mindset.
  • Ability to communicate information to diverse audiences in a variety of settings ability so others will understand.
  • Ability to handle emotionally sensitive topics related to abuse and addiction and speak about them in public venues with respect and sensitivity.
  • Strong organizational skills with an attention to detail and tracking multiple tasks with varying priority levels.
  • Ability to work under pressure and within tight deadlines.
  • Ability to occasionally lift up to 50 pounds
  • Ability to occasionally stoop, kneel, and walk while carry boxes or other items.
