Job Summary:
We are seeking a highly organized and proactive Office Administrator / Parts Warehouse Coordinator to manage the daily operations of our parts department while ensuring smooth office administration. This role is essential in maintaining an efficient parts supply chain for our fruit and vegetable sorting and packing equipment while supporting the service team with essential administrative tasks. The ideal candidate will have experience in inventory management, order fulfillment, and general office administration.
Key Responsibilities:Parts Warehouse Management:
- Oversee and manage the parts warehouse, ensuring inventory accuracy and efficient organization.
- Receive, inspect, and stock incoming parts shipments, verifying accuracy against purchase orders.
- Process and fulfill parts orders for customers and internal service teams.
- Maintain an organized warehouse layout for easy access and inventory control.
- Coordinate shipping and logistics for outgoing parts, including preparing shipping documents.
- Conduct regular cycle counts and annual inventory audits to ensure stock accuracy.
- Work with suppliers to track orders and ensure timely replenishment of parts inventory.
Office & Administrative Support:
- Serve as the first point of contact for customers, technicians, and vendors, providing professional and friendly assistance.
- Process purchase orders, invoices, and other administrative documents related to parts and service.
- Maintain accurate records of inventory transactions, customer orders, and service reports.
- Assist the service team with scheduling technician visits and coordinating documentation.
- Handle office communications, including emails, phone calls, and correspondence.
- Maintain office supplies, organize filing systems, and ensure general office upkeep.
- Assist with travel arrangements and logistics for service technicians as needed.
Qualifications & Skills:
- Previous experience in parts inventory management, warehouse coordination, or office administration.
- Strong organizational skills with attention to detail and accuracy.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency with inventory management systems and Microsoft Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication skills for customer and team interactions.
- Ability to lift and move parts as needed (up to 50lbs).
- Experience in the agricultural, food processing, or manufacturing industry is an asset.
