Join our team as a Paralegal responsible for managing and tracking legal actions related to property management operations. You'll handle property-related injury claims, unlawful detainers, and FEHA complaints, ensuring timely documentation and updates. Act as the liaison between insurance agencies, regulatory bodies, and external counsel. The role will support the COO by providing reports on claim status, coordinating communications between internal teams and external parties, and ensuring compliance with relevant laws and regulations.
Key Responsibilities
Claims and Case Tracking: Act as the primary point of contact for all incoming legal actions and complaints, including property-related injury insurance claims, unlawful detainers, and Fair Employment and Housing Act (FEHA) complaints. Track the progress of each claim and case to ensure that all necessary steps are followed in a timely manner.
Insurance Claims Coordination: Serve as the liaison with insurance companies, ensuring that all documentation is submitted and tracked for property-related injury claims. Monitor the status of claims and provide regular updates to internal teams, including the COO and property management team.
Regulatory and Agency Communication: Communicate with regulatory agencies, external counsel, and other involved parties regarding ongoing legal matters. Maintain strong relationships with insurance adjusters, attorneys, and government agencies to facilitate the resolution of claims.
Document Management: Manage and organize all legal and insurance-related documentation, ensuring that records are properly maintained, confidential, and easily accessible for internal stakeholders.
Tracking Deadlines and Actions: Maintain a system to track important deadlines, action items, and follow-up steps for legal matters, ensuring that all parties involved are aware of the necessary next steps and timelines.
Compliance Support: Assist the COO in ensuring compliance with housing laws, regulations, and company policies related to legal actions and claims, ensuring that all processes are followed and documented correctly.
Legal and Insurance Research: Conduct research to support claims, litigation, or regulatory matters, providing valuable insights on laws, policies, or insurance procedures as needed.
Reporting: Prepare regular reports on the status of ongoing claims and legal actions for the COO and senior management.
Other Duties as Assigned: Provide additional administrative support to the COO and legal team as needed, ensuring smooth operations within the legal and insurance functions.

Qualifications
- Paralegal Certificate from an accredited institution or equivalent work experience.
- Minimum of 2 years of experience in a paralegal or legal support role, preferably in real estate, property management, or housing law.
- Experience with insurance claims, unlawful detainers (evictions), and FEHA complaints is highly preferred.
- Strong organizational skills with the ability to prioritize tasks and manage multiple cases simultaneously.
- Excellent written and verbal communication skills.
- Attention to detail, especially when managing deadlines and legal documentation.
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and legal management software (e.g., Clio, Relativity).
- Strong understanding of legal terminology, property management practices, and housing laws.
