Under the general direction of the Sr. Manager Billings & Collections, the Billing Coordinator manages complex client billing, ebilling, and collections efforts, while ensuring compliance with Firm and client billing guidelines. In addition, the Billing Coordinator will be engaged in the following:
Responsibilities and Duties:
- Generates prebills for each assigned partner at the beginning of each month
- Prepares for and edits client bills for either hard copy and/or electronic formats according to attorney and client billing guidelines
- Finalizes e-bills or invoices and distributes them to clients/vendors (via electronically or by mail)
- Delivers billing estimates to clients or partners for assigned clients
- Ensures compliance with approved billing rates according to client billing guidelines (including the client’s e-billing management/systems)
- Pulls back-up of costs to include with final invoices as required based on a client’s billing requirements
- Communicates new/changes in client policies to timekeepers
- Assist with the updating of billing rates for clients in an ongoing manner, for existing client matters and new timekeepers
- Manages collection efforts for assigned clients
- Analyzes e-billing rejections and deductions and submits appeal response
- Researches client payment deductions
- Works closely with clients, partners, legal and support staff to address issues on a timely basis
- Complies with the firm’s billing policies in regards to client-specific budgets, guidelines and requirements
- Prepare, review, and track client budget, providing reports to partners on a frequent basis
- Reviews write-offs and routes to appropriate approvers
- Serve as back-up for other billing coordinators and the Conflicts and Intake team as appropriate
- Escalates issues as they arise that may require management assistance
- Prepares spreadsheets, reports, and research as needed on an ad-hoc basis
- Other duties as assigned
Education, Experience, and Skills Required:
- BA/BS degree in a related field is preferred, though equivalent experience will be considered
- Billing system/software experience in a similar industry is required, with preference given for those who have law firm related backgrounds
- Excellent communication skills, both verbal and written
- General knowledge of office equipment and tools
- Strong Microsoft Office skills – Word, Excel, PowerPoint, Outlook and various document management tools.
- Ability to build rapport with attorneys and professional staff
- Strong organizational skills with great attention to detail
- The ability to work independently but within a team environment

Position Details
This is a full-time, benefits eligible, non-exempt level position. Final rate of pay and title will be commensurate with the incumbent’s experience, with a targeted hiring range of $32.00 – $35.00 hourly (the upper range reserved for highly qualified applicants). This position is currently available in our CT office location only.
