Job Summary:
 The Medical Scheduler will be responsible for coordinating and managing the scheduling of medical appointments, treatments, and physician visits for residents in an assisted living facility. This role is critical to ensuring that residents receive timely and appropriate medical care in accordance with their healthcare plans. The ideal candidate will be highly organized, have strong communication skills, and a keen attention to detail, with an understanding of healthcare systems and patient care.

Key Responsibilities:

  • Coordinate and schedule medical appointments, procedures, and consultations for residents with external healthcare providers, including doctors, specialists, and therapists.
  • Communicate with healthcare providers, families, and residents to confirm appointments and follow up on any scheduling changes.
  • Work closely with the facility’s nursing team to ensure residents’ healthcare needs are addressed in a timely manner and aligned with care plans.
  • Maintain accurate records of scheduled appointments and medical history for all residents.
  • Ensure that all necessary medical documentation and information are provided to healthcare providers in advance of scheduled appointments.
  • Track residents’ medical appointments to ensure follow-up care and additional treatments are scheduled as needed.
  • Monitor and address any transportation needs for residents attending medical appointments.
  • Handle appointment rescheduling or cancellations, and keep all parties informed of changes.
  • Work with medical staff to ensure that all prescribed treatments, tests, and therapies are scheduled and properly documented.
  • Assist with processing insurance information and verifying coverage for medical appointments and treatments.
  • Maintain compliance with all healthcare regulations and privacy laws, including HIPAA, ensuring that patient information is handled securely and confidentially.
  • Update and maintain resident medical records, ensuring that all appointments, treatments, and changes are logged accurately.
  • Provide support for residents and families regarding appointment scheduling, reminders, and any special needs or accommodations related to medical visits.

Qualifications:

  • High school diploma or equivalent (Associate’s degree or higher in a healthcare-related field is preferred but not required).
  • Previous experience in medical scheduling, healthcare administration, or a similar role, preferably in an assisted living or healthcare setting.
  • Knowledge of medical terminology and healthcare systems.
  • Strong organizational and time management skills, with the ability to multitask and prioritize in a fast-paced environment.
  • Excellent communication skills, both verbal and written, with the ability to interact effectively with residents, families, medical staff, and external healthcare providers.
  • Familiarity with scheduling software and electronic medical records (EMR) systems (experience with software such as Point Click Care).
  • Compassionate, patient, and attentive to the needs of residents.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong problem-solving skills, with the ability to manage unexpected changes in scheduling and adjust plans accordingly.
  • A thorough understanding of HIPAA regulations and patient confidentiality.

Physical Requirements:

  • Ability to sit, stand, and walk for extended periods.
  • Ability to use office equipment, such as computers, phones, and fax machines.
