Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Secretary to support our HVACR field and office operations. This position plays a vital role in helping our technicians in the field, coordinating part orders, scheduling jobs, and supporting the day-to-day administrative flow. The right candidate will be a motivated team player with excellent communication skills who enjoys taking initiative and improving office efficiency.
This is not your typical desk-only job—you may occasionally drive to job sites to deliver invoices or materials, and you'll work closely with the executive team to keep things running smoothly.
Key Responsibilities
- Support HVACR technicians by coordinating service calls, ordering parts, and ensuring timely follow-up.
- Schedule appointments and dispatch technicians based on job priority and availability.
- Maintain and organize office operations including filing (digital and physical), supply tracking, and daily workflow planning.
- Manage executive schedules: setting meetings, booking travel, and arranging calls.
- Handle incoming calls, emails, and correspondence; direct inquiries appropriately.
- Prepare reports, job summaries, invoices, and other documents using Google Suite.
- Assist with document handling and approvals using platforms like DocuSign.
- Drive locally as needed to deliver invoices, documents, or materials to job sites.
- Continuously look for ways to improve office systems and support weekly team goals.
- Collaborate across departments to help align field and office operations.
Qualifications
- Proven experience as an Executive Secretary, Office Manager, or Administrative Assistant.
- Experience or familiarity with the HVACR industry or field service operations is a strong plus.
- Excellent organizational and multitasking skills with a knack for prioritizing.
- Proficient in Google Suite (Docs, Sheets, Drive, Calendar) and general office tools.
- Comfortable with phone systems, scheduling platforms, and file management.
- Reliable, self-motivated, and solutions-driven.
- Valid driver’s license and ability to run occasional job-site errands.
- Experience as a clerk, personal assistant, or dispatcher is beneficial.
