Job Summary
- Monday through Thursday 9am to 3pm, 30 hours per week with the possibility of full time in the future.
- When guests arrive, warmly welcomes them, offering refreshments; answer basic questions regarding the business, such as hours of operation, as well as provide customers with a brief explanation of the products and services offered. COURTEOUS AND FRIENDLY DISPOSITION A MUST. BILINGUAL PREFERRED.
Responsibilities and Duties
- Prepare legal correspondence
- Prepare for trial by performing tasks such as organizing exhibits
- Search pertinent sources, such as public records and internet sources
- Meet with clients and other professionals to discuss details of case
- Organize and maintain documents in paper or electronic filing system.
- Assist with the daily distribution of incoming and outgoing mail and sign for priority or overnight packages.
- Telephone calls: Answer two-line phone system, screen calls to take and relay messages as instructed; place telephone calls; schedule and confirm appointments; contact clients and court staff for information.
Additional Tasks - File documents with the courts using company vehicle; scan, copy and mail documents; order office supplies; make photocopies; keep all calendars up-to-date; arrange for formal service of legal documents; organize and maintain case files and client case indexes; shop for and maintain stock of office supplies, stationary and marketing materials; and keep office surfaces, floors and restroom clean and tidy.
Qualifications and Skills
- QUALIFIED APPLICANTS ONLY - if you've never worked in an office environment before, you are not likely qualified for this position.
- Bilingual PREFERRED
- MUST HAVE/BE:
o Excellent customer service skills a must

- Must have very strong verbal and written communication skills
- Keep privileged information confidential
- Have at least basic knowledge of laws and court procedures
- Confer with court staff and other agencies for exchange of information
- Must be proficient in Microsoft office (including Excel)
- Courteous, respectful, friendly communication under pressure
- Highly skilled in greeting, assisting and directing guests, workers, visitors and the general public
- Able to maintain an organized area
- Answer multi-line phone system and handled caller’s inquiries
- Demonstrated ability to properly handle high volume of phone and email inquiries in a timely manner
