Job Description:
The Senior Executive Assistant supports the Founder and CEO of Azimuth and fellow executives. This includes but is not limited to, arranging and managing complex travel schedules, meetings, and conferences, responding on behalf of the Executive to both internal and external parties, and executing day-to-day operations to help Executives be efficient. The senior executive assistant must be proactive and a self-starter, with the ability to adapt as priorities change. Must be able to operate with a high level of confidentiality.
Roles and Responsibilities:
- Calendar management, and scheduling travel (familiarity in booking international travel preferred).
- Assist with onboarding and off-boarding employees, running background checks, maintaining employee files, etc.
- Manage payroll administration by a third-party payroll firm.
- IT coordination to include equipment management – returning and issuing equipment, monitoring and utilizing badge system.
- Accounts Payable/Accounts Receivable.
- Assist in monthly financial closing by providing statements, invoices, etc. to the Finance team.
- Assist in the management of renewal policies for various software, insurance, and corporate registrations.
- Conference preparation and logistics.
- Greeting visitors and maintaining office supplies/inventory.
- Attend meetings and take minutes as requested by the Executive and follow up on action items.
- Overseeing administrative policies within an organization and within the office; recommending changes as appropriate.
- Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
- Prepare executive responses to routine memos, letters, or correspondence.
- Delegate tasks and responsibilities to other staff members when appropriate.
- Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
- Evaluate policies to ensure they are in compliance with corporate rules and mission.
Qualifications:
- 7 years of administrative support or executive assistance.
- Problem-solving ability.
- Advanced MS Office experience.
Education and Experience:
BA/BS or equivalent educational background is preferred.
