What are the responsibilities and job description for the Customer Service Representative position at Azul Med Staff?
Key Responsibilities:
- Inbound Receipts & Documentation
- Enter inbound receipts into our Warehouse Management System (WMS) and create receiving documents for the warehouse.
- Create and/or update item master records for new goods coming in.
- Container Scheduling & Reporting
- Schedule inbound containers with forwarders and/or customers and report on container status once emptied.
- Order Processing & Allocation
- Create new orders and allocate inventory, ensuring correct label printing and identifying any necessary value-added services (VAS).
- Monitor order processing, ensuring that all orders comply with customer requirements, start dates, and cancel dates.
- Customer Communication
- Communicate with customers via phone and email to provide updates on order status and address any potential issues or delays.
- Assist customers in troubleshooting and resolving order or logistics issues.
- Reporting & Documentation
- Run and maintain open order reports, ensuring timely delivery and compliance with order timelines.
- Maintain an updated inbound and outbound log for warehouse visibility.
- Inventory & Billing
- Assist the warehouse team with order-related queries and inventory discrepancies.
- Review all closed receipts/orders at the end of the week to ensure proper billing based on customer agreements.
Qualifications:
- Proven experience in logistics, customer service, or supply chain management (preferred).
- Strong proficiency in using warehouse management systems.
- Familiarity with inbound/outbound logistics processes.
- Familiarity in transportation such as Drayage, local and long haul trucking.
- Excellent verbal and written communication skills to effectively interact with customers and internal teams.
- Ability to problem-solve and work independently while maintaining attention to detail.
- Strong organizational skills and ability to manage multiple priorities and tasks.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook etc.).
- Bilingual
