Office Manager
As an Office Manager, you will have the opportunity to develop and refine your leadership skills while assuming the full range of responsibilities. You will be tasked with gaining a thorough understanding of operations, policies, procedures, and working with all levels of management staff.
Primary Responsibilities

- Manage the appointment scheduling system, coordinating with medical staff to ensure patients receive the care they need; Providers are seeing the agreed upon number of patients, and ensure a smooth and efficient flow of their clinic.
- Review clinic schedules for efficiency and productivity.
- Ensure appointments are verified, patients are eligible and authorized.
- Evaluate daily no-show rates, determine cause, and discuss with upper management to create a resolution in a timely manner.
- Confirm each patient encounter is checked-in and out, the correct payer is billed, coded, and payments are collected and reflected in accounts.
- Supervise clinic's staff, including PSR’s, Technicians, Opticians, while ensuring compliance with policies and procedures.
- Address any issues that may arise immediately and notify HR.
- Assure the clinic is properly always staffed and recruit additional staff as needed.
- Recruit and interview potential candidates and present final candidates to the Regional Manager for final approval.
- Ensure the smooth operation of all office operations, including maintaining supplies, managing the budget, and ensuring compliance with relevant State, Federal, County, and local ordinance, and regulations.
- Ensure phones are always in the “available” status and answered promptly.
- Ensure the clinic always maintains a rating above 4.8 in Rater8.
- Commit to addressing all patient related issues promptly and courteously.
- Verify the clinic's records are accurate, including computer systems, electronic medical records, and medical equipment.
- Train new and transfer staff as needed.
- Other duties may be assigned as needed.
Requirements
- High School Diploma or GED
- 1 yrs. experience in healthcare
- Computer literacy
Preferred
- Bachelor's degree in relevant field
- Prior supervisory experience
- Knowledge of customer service principles
- Familiarity with California and federal employment laws, regulations, and best practices.
Physical Demands
The selected candidate will be required to sit and use both hands for typing for extended periods of time; climb or balance; and stoop, kneel, crouch or crawl periodically. The employee must frequently lift and/or move up to thirty pounds and occasionally lift and/or move up to thirty pounds. The employee is required to multi-task, stay organized and manage a large, fast-paced workload. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Job Type: Full-time
Pay: $21.00 - $24.00 per hour
