We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to provide high-level administrative support to Executive Team. The ideal candidate is a self-starter who anticipates needs and ensures the executive’s time is used efficiently and effectively.
Job Summary
The Executive Assistant provides high-level administrative support to the executive team by handling information requests, performing clerical functions, preparing reports, and facilitating internal and external communications. This role requires strong organizational skills, discretion, and the ability to anticipate the needs of the executive team.
Responsibilities
- Manage and maintain executives’ calendars, including scheduling appointments, meetings, monthly 1:1s, and travel
- Prepare and edit emails, reports, and presentations
- Prepare daily agenda and top list of items that need attention
- Organize meeting agendas, attend meetings, record minutes, and follow up on action items
- Prepare materials for board meetings and maintain board minutes
- Serve as point of contact between executives and internal/external stakeholders
- Support various projects, including strategic planning and company-wide initiatives
- Assist in planning and execution of company events and meetings
- Manage association memberships and award submissions for yearly awards
- Handle confidential information with discretion and integrity
- Organize and maintain electronic filing systems
- Other duties as assigned
- Adhere to company policies and code of conduct
Requirements
- Associate or bachelor’s degree in business administration or related field preferred
- 10 years administrative support experience with 3 years of experience in an executive support role, preferably supporting C-level executives or equivalent
- Construction industry experience a plus
- Strong written and verbal communication skills
- Exceptional organizational and time-management abilities
- Ability to handle confidential information with discretion
- Strong attention to detail and problem-solving skills
- Excellent Microsoft 365 skills
- Ability to work independently and manage multiple priorities
Salary : $60,000
