The successful candidate will assist with the coordination, documentation, and management of pipeline-related projects and activities. This role requires strong communication skills, proficiency in office software, and the ability to work collaboratively with team members to ensure smooth operations.
Essential Functions
This is a full-time position officing in Williston ND. The typical work hours are Monday-Friday 8:00 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours. During busy periods, the position may require arriving earlier and staying later than the “core” work hours.

Essential Functions
- Administrative Support: Prepare, organize, and maintain pipeline project documentation, including reports, schedules, permits, and correspondence.
- Data Entry & Management: Input and update pipeline-related data (e.g., project timelines, equipment logs, or maintenance records) into company databases or software systems.
- Communication: Serve as a point of contact between office staff, field teams, and external stakeholders, relaying messages and coordinating meetings or updates.
- Scheduling: Assist in scheduling meetings, inspections, or maintenance activities related to pipeline operations, ensuring all parties are informed.
- Document Filing: Maintain both digital and physical filing systems for easy retrieval of pipeline plans, compliance records, and other critical documents.
- Inventory Tracking: Monitor and order office supplies or assist with tracking materials and equipment needed for pipeline projects.
- Run Parts: Coordinate and manage the procurement or delivery of parts as needed for pipeline operations.
- Organize Assets: Organize any and all related assets of the division and as assigned, ensuring efficient access and inventory control.
- Assist Division Leader: Support the division leader with reports, ticket management, invoice management, and other administrative tasks as required.
- Report Preparation: Compile data and assist in generating progress reports, safety summaries, or other documents as requested by supervisors.
- Compliance Support: Help ensure that pipeline documentation adheres to company policies, industry standards, and regulatory requirements.
- General Office Duties: Answer phones, respond to emails, and perform other clerical tasks to support the pipeline team.
- Education: High school diploma or equivalent required; an associate’s degree or coursework in administration, business, or a related field is a plus.
- Experience: 1-2 years of experience in an office or administrative role; prior experience in pipeline, construction, or energy sectors is preferred but not required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn industry-specific software.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Attention to detail and accuracy in data entry and documentation.
- This is a full-time, office-based position with standard hours (e.g., Monday to Friday, 8 AM - 5 PM).
- Occasional overtime may be required during peak project periods.
- Work is performed in a professional office environment with minimal physical demands.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- Must be physically able to climb stairs, stand, walk, carry, push, prolonged periods of sitting at a desk and working on a computer.
