B'nai Shalom of Olney is an egalitarian, conservative Jewish congregation located in north-central Montgomery County, Maryland. BSO is seeking an Administrative Assistant to partner with our Synagogue Administrator, Clergy, School Directors, and lay leaders to ensure smooth operations at BSO. This position provides individualized customer service to the synagogue’s membership, visitors, Board of Officers and Trustees, Committees and vendors. A friendly and welcoming demeanor as well as a professional appearance is necessary. The Synagogue operation is complex, fast paced, and requires the ability to multitask while remaining organized, managing periods of high demand, while maintaining a calm and responsive presence. The position is the central gatekeeper to the various departments, and is responsible for answering phones and greeting congregants and visitors in a warm and inviting manner.
Job Summary:
The Administrative Assistant is responsible for manning the front office and being the initial interface for congregant, visitor, vendor, and staff needs. The Administrative Assistant is also responsible for BSO office upkeep, sending out communications and helping with event preparations.
Principle duties:
· Emailing of notices/announcements under the direction of the Synagogue Administrator
· Handling deliveries - food, amazon, etc.
· Mail distribution
· Shabbat and B’nai Mitzvah weekend preparations in the synagogue
· Compiling Shabbat bulletin, inserts and preparing them for the services
· Answering door, phone, attending to visitor needs
· Preparing monthly Yahrzeit notices, labels, and donation letters
· Inventory and ordering office/kitchen supplies (with Synagogue Administrator approval)
· Maintain office equipment including postage meter, copy machine, phones, etc.
· Maintains the office cleanliness, ensuring good office appearance
· Assists in maintaining membership records, synagogue files (online and hard copy files)
· Provide material to the newsletter editors including birthday and announcements, donations, calendar information, yahrzeits and condolences, and congratulatory announcements
· Send monthly updated membership roster to the mail house
· At busier holiday times: assisting with logistics, preparing materials needed for holidays and events, sanctuary set up as needed; assumes tasks to coordinate the needs of high holidays and lifecycle events
Qualifications
A successful candidate will be able to:
· Work collaboratively with members of the congregation, volunteers and staff
· Demonstrate computer literacy and competence with website upkeep, social media, Microsoft Office and Shulcloud
· Demonstrate excellent communication skills through written, oral, and electronic means
· Demonstrate strong organizational and multitasking skills
· Maintain discretion, confidentiality and professionalism at all times
· Understanding and familiarity of Conservative Jewish religious practice, values and traditions preferred
· A minimum of 5 years of relevant professional experience preferred
