Purpose:
The Reservations Coordinator is responsible for handling reservations, inquiries, and cancellations in an attentive, courteous and efficient manner, and quoting available rates to maximize room revenue according to Performance Hospitality Managements high standards of quality.
Essential Functions:
- Process all reservation requests, changes, and cancellations received by phone, fax, or mail. Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate. Explain guarantee, special rate, and cancellation.

- Oversee accuracy of room blocks and reservations. Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms and keep organized files of all groups. Set-up proper billing accounts according to accounting policies.
- Communicate information regarding designated VIP reservations. Input and access data in reservation system. Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department.
- Answer questions about property facilities/services and room accommodations. Follow sales techniques to maximize revenue.
- Establish initial contact with customer at file turnover.
- Prepare and submit group rooms recap reports, including the tracking/posting of group comps, and rebate/commission calculations.
- Maintain reservation inbox and ensure all emails are responded within 24 hours as it relates to reservations.
- Process all transient commissions and accruals.
- Expert knowledge of Word, Excel, Reserve and Opera
- Excellent multi-tasking and organizational skills

- Understanding of rooms merchandising and yield management processes
Working Conditions / Physical Demands / Knowledge / Skills / Abilities (KSAs):
Command of the English language both written and verbal. Well organized and detail-oriented with the ability to manage multiple priorities in a fast-paced environment. Self-starting personality with an even disposition. Always maintain a professional appearance and manner. Must be willing to pitch-in and help co-workers with their job duties and be a team player. Ability to work beyond standard hours when necessary, including evenings, weekends, and holidays, to accommodate the guests needs. Ability to comprehend and follow instructions from supervisor. Comply with quality assurance expectations and standards. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors. EDUCATION and EXPERIENCE High School Diploma or equivalent with at least one (1) year hospitality experience.
