Description

The House Manager, under the supervision of the Coordinator, provides support and training to people we support and performs routine or repetitive duties following standard practices involving the application of established rules and procedures.

                                

 

Job Duties: 

  • Becomes knowledgeable and adheres to Babcock Center’s policies and procedures.
  • Performs all functions of the Direct Support Professional (DSP).
  • Coaches, trains and supervises the DSP’s in carrying out supported routines associated with each person’s Plan of Supports and managing the daily needs of the residence, providing direct coaching on each shift on a routine basis.  Supported routines include menu planning, food shopping, meal preparation, dining, cleanup, household chores, bathing and personal hygiene, personal clothing care, personal grooming and appearance, personal finances and personal health management.
  • Reviews and reports staff documentation in compliance with provisions of each program plan (i.e., documentation related to behavior support plans and other training program data collection).  This should be done at a minimum of two times per week and any problems noted should be brought to the attention of the DSP.
  • Performs evaluations, corrective and/or disciplinary actions of DSP’s assigned to the residence.  The House Manager is responsible for initiating corrective and/or disciplinary actions on subordinates (i.e., oral or written).  The House Manager should initiate the interview and selection process of all new employees and include a person who lives in the home in the interview process.
  • Responsible to assure the review and inventory of each person’s clothing in order to determine purchasing and mending needs on a quarterly basis.
  • Works effectively to keep overtime hours in the home at a minimal level.  House Manager reviews time and attendance records for accuracy, ensuring people clock in and out, etc.  Reviews and approves timecards at the end of each pay period. Authorizes leave time of direct support staff with the approval of the Coordinator.

 

  • Safeguards, documents and disburses supported individuals’ money as outlined in the Single Plan.  Manages consumers’ personal needs for cash on hand, reconciles purchases with receipts and supporting documentation.
  • Coaches DSPs to support each person to plan menus, purchase food, store it until use, prepare it, serve it in family style and clean up afterwards.
  • Coaches DSPs to support each person to share the household chores necessary to maintain the household. Coaches DSPs to accompany individuals on activities and shopping trips of their choice. Coaches DSPs in safely transporting support recipients and making other work assignments at the direction of the Coordinator. Performs inspections and maintains cleanliness of residence. Performs inventories and ensures that supplies are readily available.
  • Serves as a member of the management team for habilitation and assists in decisions related to admissions and discharges.
  • Participates in monthly residential risk management/safety meeting.
  • Ensures that all weekly and monthly documentation is completed and forwarded in timely manner to the appropriate person(s).
  • Participates in each person’s assessment process to ensure an accurate and comprehensive document.
  • Coaches DSPs to implement training objectives and to collect data on training objectives electronically according to each person’s plan.
  • Reviews vehicle cell phone call logs, weekly mileage logs and pre-trip checklists.  Forwards timely to appropriate personnel.
  • Assures that each employee’s electronically stored information is current including address, phone, emergency number and the name of the emergency contact.
  • Responsible for developing staff schedules in a manner conducive to best meet the requirements for active treatment and financial stability of the residence.  Monitors staff work attendance in compliance with work schedules. 
  • Coaches DSPs to ensure that people are supported to schedule their medical, dental or therapy appointments and escorts them in agency vehicles as needed.
  • Performs or ensures that fire drills and fire exit checks are performed monthly and disaster drills annually.  Ensures fire extinguisher is checked monthly and the proper documentation is present. 
  • Becomes familiar with regulations, licensing standards, and certification requirements relative to the home, as well as performs regular checks to ensure the residence is in compliance with SCDHEC and/or DDSN licensing and certification standards.
  • Schedules staff for all required annual trainings. 
  • Performs or assigns staff to complete Comprehensive Functional Assessments prior to the Single Plan meeting or as often as needed.
  • Coaches DSPs to complete and reviews electronic documentation in Therap including General Event Reports (GERs), T-Logs, S-Comms and training data as well as hard copy documents including Leave/Visitor Authorization forms, Family Contact Forms, Mileage Logs, Food Inventory forms, Supervisor Report of Employee Occurrence (SREO), medication administration and monthly activity calendars.
  • Holds monthly staff meetings with the DSP staff to provide on-going coaching to help them to perform their job assignments better, in keeping with the GEM principle: Is this good enough for me?
  • Provides on the job training and coaches all new DSP staff in the home and maintains documentation of the training.
  • Completes all required training and assures that all staff in the house are up to date on their training requirements.
  • Participates in the development of the Plan of Support for each person served, focusing on the identification of personal outcomes and the supports needed to achieve those outcomes.
  • Holds or participates in the Monthly House Meeting to hear concerns of those who live in the home.
  • Immediately notifies Coordinator and/or Director of any unusual occurrences in the home, including critical incidents, allegations of abuse, neglect, exploitation, hospitalizations, deaths, missing medications or other situations that may have a negative impact on the health and safety of people supports.
  • Performs other related duties as assigned.

 

Job Duties (Non- ICF’s):

  • Obtains all new medical orders.
  • Completes monthly medication audits and takes appropriate, timely action when errors are found.
  • Ensures any new prescriptions are filled and picked up in a timely manner.
  • Counts medication, for each person supported at least 2x per week.
  • Ensures that medications are stored in a locked container.
  • Documents medications on the EMAR on Therap or assures that DSP staff do so.
  • Reviews EMAR for accuracy every scheduled workday.
  • Reorders medication(s) as needed.
  • Ensures medication(s) are delivered to the person’s work site as needed.
  • Reports any medication discrepancy to the Nurse within 24 hours.


 

Working Hours:

The House Manager is expected to work a minimum of 40 hours per week. These hours are flexible and much include the ability to work evenings and weekends as needed. Flexibility and after duty and on call hours are necessary. This position is not eligible for overtime compensation. Travel via airplane, car or train, as appropriate maybe required.

 

Working Conditions: 

The House Manager works in in residential homes and other company facilities. This position is very active and requires sitting, standing, walking, bending, kneeling, stooping, pulling, pushing, and reaching. The employee must be able to lift and/or move items over 50 pounds. Must have normal range of hearing and vision.

 

The House Manager is expected to conduct himself/herself as an example for other staff and workers. He/She is expected to develop and maintain a cooperative working relationship with all Babcock Center personnel as well as with the public, other agencies, businesses, and industrial contracts   

 

Supervision: 

The direct supervisor for the House Manager is the Residential Coordinator.

 

Typical Physical Demands:

Sitting, standing, bending, stooping, reaching, frequent lifting, and manual dexterity sufficient to operate standard office machines. Must have normal range of hearing and vision.

 

Typical Mental Demands:

Must be able to deal with stress associated with fast-paced work environment and multi-tasking. Formulate decisions and act upon them. Adapt to changing work situations. Grasp and apply new ideas. Communicate with various personalities at all levels. Maintain confidentiality of all sensitive information.

 

Hazards/Potential Hazards:

Cleaning chemicals, ergonomic hazards: i.e. static postures, repetitive motion, trip hazards such as file drawers and electrical wires video display terminals.

 

Qualifications


Qualifications:

  • 1 year of experience in the field of developmental or intellectual disabilities, preferably as a DSP or similar role, is required.
  • High school diploma or equivalent is required. Associate’s or Bachelor’s degree in the Human Services field from an accredited college or university preferred.
  • Maintain a high level of confidentiality.
  • Must possess reliable transportation.
  • Ability to lift 50 pounds.
