About the Scheduling Department:
The Scheduling Team is at the heart of ensuring our trips run smoothly; crafting schedules and organizing logistics that keep our Field Staff in the right place at the right time. The team plays a crucial role in balancing business needs by ensuring trips are staffed efficiently, on time, and within budget. Their work directly impacts the success of our operations, optimizing travel days and aligning Field Staff assignments to meet business demand while maintaining a seamless experience for both staff and guests.
About the role:
The Travel Coordinator plays a vital role within the Scheduling Team, working to support our Field Staff (Global Backroads Leaders and Trip Prep Specialists) with their travel needs as they move from region to region, throughout the season. In this role you will work closely with our third-party travel vendor to provide travel support and approvals for all travel inquiries and requests. In addition, you’ll monitor travel costs, assist Field Staff with budget inquiries and deviations, and support the scheduling team with travel reports, processes, and administrative tasks. You will be a great fit for this position if you have at least 1-2 years of experience working in an administrative role, resolving a high volume of inquiries and requests while exercising strong attention to detail, time management, and problem-solving skills.

What you’ll be doing:
- You will serve as the primary point of contact for all Field Staff travel inquiries, including flight change approvals, policy clarifications, global visa and compliance programs, and other travel-related questions—all while ensuring alignment with Backroads company policies.
- You’ll collaborate with our third-party travel partner, Concur, to review Field Staff travel requests and deviations, ensure adherence to travel policies, and identify opportunities for policy improvements.
- You’ll manage the travel team inbox by triaging and responding to inquiries promptly and efficiently.
- You’ll audit Field Staff schedules for missing or excess travel days, adjusting travel days as needed.
- You’ll process Field Staff travel deviations and accurately track reimbursements owed to Backroads for recovery.
- You’ll ensure that travel expenses are categorized in our expense tracking system accurately and on time.
- You’ll work to research and maintain the Field Staff travel budget sheet, updating budget information in our proprietary systems as necessary.
- You’ll also act as the point of contact for our Canadian Travel insurance provider, and complete expense reporting for all Canadian Field Staff travel insurance.
- Required 1-2 years of previous administrative experience in a fast-paced work environment.
- Strong written and verbal communication skills.
- Strong problem solver with the ability to exercise sound judgement in making decisions.
- Exceptional attention to detail, organization & time management skills.
- Quick learner & systems savvy.
- Ability to work independently and as part of a team efficiently.
- Empathetic, helpful, and upbeat personality with a strong desire to support fellow colleagues.
