Position Summary:
Provide clerical and administrative support to the Community Director and department heads, assist with organizing and maintaining resident and employee files, and assist with recruiting, hiring, benefits, administration, and general customer service duties. Participation in the Interdisciplinary Team evaluation, and promote the residents’ health and wellness through regular visits with each resident, resident assessment, and ongoing communication with resident care team. Provide hands-on training of caregiver staff.
Administrative
- Provide clerical and administrative support to the Community Director and department heads.
- Assist with creating and maintaining resident administrative files.
- Assist with creating and maintaining employee files.
- Assist the Community Director in preparing reports, budgets, and financial statements.
- Calculate payroll hours, review with department heads for accuracy, and process payroll accordingly as indicated.
- Review paychecks for accuracy, organize and distribute as indicated.
- Review benefits with employees and submit benefit paperwork.
- Assist Community Director and other departments with the recruiting and hiring process such as:
· Screening applicants
· Arranging interviews
· Completing reference checks
· Completing criminal background checks
· Sending regret letters
9. Assist with ordering and maintaining necessary office supplies.
10. Maintain an organized, neat office area.
11. Copy and file paperwork as necessary.
Clinical Manager Job Description
12. Prepare correspondence as necessary and as directed by supervisor.
13. Assist the Community Director or other departments with additional administrative duties as assigned, including any on-call responsibilities.
14. Assist in training of all resident care employees in accordance to residence policies, training programs, and state and federal regulations.
15. Assist with maintaining in-service manuals.
Resident Service
1. Review all resident information and complete an assessment of the resident at move-in, when changes in the resident’s condition occur, and as required by residence policy and state regulation.
2. Review the resident’s medical report prior to move-in to ensure that the residence can provide for the resident’s individual needs and regulatory requirements have been fulfilled.
3. Assist the Community Director and nursing staff to develop and maintain an up-to-date individual service plan for each resident.
4. Assist with coordinating additional health services the resident may need.
5. Assess residents and monitor their health.
6. Assist with maintaining resident’s care files/binder.
7. Ensure that all systems for providing and tracking resident care are completed in accordance with the residence policies and procedures.
8. Ensure required paper work for providing resident care is completed and up-to-date.
9. Communicate residents’ needs with caregiver staff and Community Director.
10. Participation in the Interdisciplinary Team evaluation.
Customer Service
1. Possess and maintain knowledge of the residence, its benefits, services provided, customers it, and its employees.
2. assist with answering all incoming calls, both internal and external, in a warm, pleasant, and professional manner.
3. Greet all visitors, residents, family members, and employees in a warm and helpful manner.
4. Provide other assistance with resident services as requested by Community Director.
5. Establish and maintain good relationship with residents and their families.

Physical Demands of Position
To fulfill job requirements, employee must be able to perform key physical task for extended periods of time. Whenever you are supporting, lifting or transferring residents, proper body mechanics and safety measures must be used, as prescribed by the residence.
In a typical eight-hour day, employee will:
· Stand/walk up to two hours a day
· Sit up to eight hours a day
· Frequently support up to 70 pounds
· Occasionally lift/carry up to 50 pounds
· Frequently kneel, bend, climb, and reach
· Secure proper assistance for transferring and lifting residents as needed
