Manufacturing Office Administrator

Job Summary/Objective: The Manufacturing Office Administrator is responsible for supporting the on-site team with administrative duties and intra-office communications. This role ensures smooth day-to-day administrative operations in a manufacturing facility by managing office functions, coordinating with internal departments, and serving as the first point of contact for associates seeking information or resources. This position requires a detail-oriented, organized, and proactive individual with strong communication skills.

Essential Functions:

  • Manage daily administrative operations within the manufacturing office.
  • Serve as the primary contact for general phone and mail inquiries, directing them to the appropriate departments.
  • Support office personnel, including the Operations Manager, Supply Chain Manager, R&D Manager, and FSQA Administrator, by directing the flow of operational reports and forms.
  • Provide first-line support for associate inquiries, guiding them to the appropriate corporate resources.
  • Oversee and maintain office supplies, ensuring availability for seamless operations.
  • Utilize Microsoft Office, email, and other software to facilitate efficient communication and workflow.
  • Maintain accurate records and documentation, ensuring compliance with company policies and industry regulations.
  • Coordinate and assist in scheduling meetings, preparing reports, and supporting cross-functional teams as needed.
  • Adhere to and enforce all safety regulations and protocols within the manufacturing environment.
  • Collaborate with IT to manage physical badges for employees.
  • Compile and match Bureau of Labor quarterly wage reports using payroll details.
  • Conduct setup and onboarding for all new associates both full-time and temporary, including training, forms and documentation, photos, badges, etc.
  • Serve as the go-to person for employee support, including ordering safety shoes and providing computer assistance.
  • Maintain the documents inside the lobby case (licenses, and policies)
  • Data entry for the Faltin Tea Cake Weights and Tinker Tea Cake Analysis
  • Lead person to respond to doorbell
  • Complete outbound packets for scheduled shipments.
  • Process invoices for goods and services.

  • Strong organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Effective verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and email management; experience with ERP/SRP systems a plus.
  • Ability to handle multiple tasks in a fast-paced manufacturing environment.
  • Strong interpersonal skills, fostering a positive and collaborative work environment.
  • Proactive problem-solving ability and adaptability to changing priorities.

Supervisory Responsibilities:

  • This position does not have direct supervisory responsibilities.

Work Environment:

  • Office setting within a manufacturing facility.
  • Exposure to noise and varying temperatures associated with a production environment.
  • Frequent interaction with production, supply chain, and operations teams.

Physical Demands:

  • Ability to sit, stand, and walk for extended periods.
  • Occasional lifting of office supplies and materials (up to 25 lbs).
  • Frequent use of computer, phone, and office equipment.

Position Type:

  • Full-Time

Work Hours:

  • Standard business hours, Monday–Friday.
  • Occasional overtime may be required based on operational needs.

Travel:

  • Minimal travel required.

Required Education & Experience:

  • High School Diploma or GED.
  • Minimum of 2 years of administrative experience, preferably in a manufacturing or industrial setting.
  • Proficiency in Microsoft Office Suite and email management.

Preferred Education & Experience:

  • Associate’s degree in Business Administration or related field.
  • Experience working in a food manufacturing environment.
  • Knowledge of ERP or similar business management software.
