Job Summary:
We are seeking a detail-oriented and experienced Payroll Specialist to manage payroll processing, assist with accounting invoices, and provide some HR administrative support. The ideal candidate will have hands-on experience with ADP payroll systems, a strong understanding of payroll compliance, and a high level of accuracy and confidentiality. This role is essential in ensuring timely and accurate payroll while maintaining compliance with federal, state, and local regulations.
Key Responsibilities:
- Payroll Processing: Manage end-to-end payroll processing for all employees, ensuring accurate disbursement of wages, bonuses, deductions, and overtime.
- ADP System Management: Utilize ADP Payroll software (ADP Workforce Now) to process payroll, manage employee records, and resolve payroll-related issues.
- Compliance: Ensure payroll practices comply with federal, state, and local regulations, including tax filings and labor laws.
- Reporting: Prepare, reconcile, and submit payroll-related reports, including tax filings, earnings statements, and compliance reports.
- Employee Inquiries: Address employee questions related to payroll, benefits, deductions, and tax-related matters promptly and professionally.
- HR Administrative Support: Assist HR with employee record management, benefits administration, vacation tracking and other administration projects.
- Time & Attendance: Review and reconcile time and attendance records to ensure accurate payroll processing.
- Reconciliation & Discrepancies: Resolve any payroll discrepancies and ensure all records are maintained accurately.
- Payroll Documentation: Maintain accurate payroll records, ensuring all data is entered correctly into the ADP system.
- Training and Awareness: Stay informed of changes to payroll regulations, best practices, and software updates.
- Accounting Support: Complete accounts receivable invoices and payroll journal entries
- All other duties and assigned.
Qualifications:
- Experience:
- 2 years of experience in payroll processing, preferably using ADP.
- Experience with payroll regulations, compliance, and HR administrative tasks.
- Education:
- Bachelor’s degree in accounting or a related field preferred.
- Certified Payroll Professional (CPP) certification is a plus.
- Skills:
- Proficient in Microsoft Office Suite (especially Excel).
- Strong attention to detail and accuracy.
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication and interpersonal skills.
- Ability to manage time effectively, work independently, and adapt to changing priorities.
- Mathematical & Analytical Skills:
- Ability to calculate wages, deductions, bonuses, overtime, and other payroll-related figures.
- Strong problem-solving skills to resolve discrepancies.
Physical Demands:
- Regularly required to sit, talk, and hear.
- Occasionally required to stand and walk.
- Must occasionally lift and/or move up to 10 pounds.
- Specific vision abilities required include close vision and the ability to adjust focus.
Work Environment:
- Office setting with moderate noise levels.
Competence, Awareness, and Training:
- Probationary employees will be evaluated after 90 days, with annual performance reviews conducted thereafter.
