As a member of the Contracts team, you will join an incredibly talented and hardworking Contracts & Procurement department dedicated to safeguard the Agency’s contracting & procurement processes to advance BakerRipley’s impact in the Houston region.
Reporting to the Director of Contracts & Procurement, the Contracts Specialist II will work with the Contracts team to manage the Agency’s overall procurement and contracting processes; develop and monitor the initiation, review, approval and renewal of Agency contracts; ensure contracts are processed timely with appropriate internal and external approvals and signatures; and manage both internal and external relationships.
Expected Outcome
· Perform on-going contractual analysis of assigned service categories and identify/ negotiate legal terms and conditions to mitigate risk and ensure Agency compliance with Contracting and Procurement policies within 30 days of hire
· Assume ownership of assigned functions within 60 days of hire processes, meeting established timeframes of each function
Cross functional in all procurement operations core duties and responsibilities within 1 year of hire
Essential Functions
• Analyze, draft, negotiate and administer contracts for the provisions of good and services while always advising on and adhering to the Agency’s internal policies and guidelines.
• Manage and update contract templates as needed. Ensure correct and current templates are used with applicable terms & conditions
• As a member of the Contracts team, develop and update the Agency’s contracting policies and procedures and ensure adherence to Agency policies, procedures and Regulatory requirements
• Support the Contracts & Procurement teams informal and formal procurement proposals through entire procurement process from proposal development through to vendor conference, evaluation, negotiation, contract execution and contract summary
• Draft, negotiate, and complete contracts to capture the best possible terms and conditions for the Agency
• Serve as contract administrator on awarded contracts. Assist internal customers and external parties with contract questions and issues
• Manage information flow through contract document management system
• Provide contract reports and statistics to management as requested
• Ensure compliance with historically underutilized businesses (HUB) and minority and women business enterprises (M/WBE)
• Communicate with management regarding workflow status, contract issues, etc.
• Complete special contract projects as required by management
• Develop external relationships to expand knowledge of supply marketplace and internal relationships to understand Agency’s procurement needs
• Other duties as assigned by the Senior Director of Contracts & Procurement and/or Director of Contracts & Procurement
