What are the responsibilities and job description for the Marketing Coordinator position at BAKERSFIELD FAMILY MEDICAL GROUP, INC.?
Under the direction of the SVP of Business Operations, this position is responsible to perform and maintain all clerical and administrative services for the Bakersfield Family Medical Group (BFMG) and Coastal Communities Physician Network (CCPN) Marketing Department. The Marketing Coordinator will interact with other departments, clinical personnel, and outside members/providers/vendors in a professional and friendly manner, to create and maintain a positive relationship with internal and external customers.
- Maintain inventory control and notify Marketing Manager as needed.
- Office supplies.
- Marketing materials – brochures, letters, promotional items, etc.
- With the guidance of the Marketing team, assist in maintaining all social media platforms.
- With the guidance of the Marketing team, assist with development and design of advertising and brochures, flyers, posters, etc., as needed.
- With the guidance of the Marketing team, assist with new content and updating both markets websites.
- Answer phones:
- Screening calls for the marketing department
- Daily review of Marketing Department voicemails.
- Assist with commercial and senior member calls regarding upcoming marketing events and how to become a member.
- Forward advertising, sponsorship calls/voicemails to appropriate team members.
- Assist and conduct call campaign projects with members, documenting and maintaining reports (Teams) of calls made:
- Assist the eligibility department with calls to members to update PCPs.
- Verify member eligibility through contracted health plan websites.
- Follow up calls with senior member(s) for reason for termination.
- Update membership term reports for eligibility department.
- All other call campaigns as necessary.
- Assist with marketing events:
- Organize and/or deliver marketing materials and/or promo items.
- Track all RSVPs for events.
- Senior activities – Coffee Club, Health Talk Bingo, Arts and Crafts, Senior Expo, etc.
- Coordinate meals and refreshments for events.
- Provide clerical assistance to marketing department:
- Maintain marketing team calendars.
- Setup marketing meetings/events – assist with meals and refreshments as needed.
- Maintain department files. Creating and maintaining information spreadsheets for all events, health seminars, broker meetings, etc.
- Open and distribute all incoming mail and correspondence to the team.
- Maintain marketing conference room calendar/reservations.
- Create and submit check requests for all marketing events, sponsorships, advertising, media expenses, etc.
- Submit maintenance requests for conference room set up, as needed.
- Assist with marketing mailers for company:
- Senior Activity postcards
- Senior birthday cards.
- Flu Shot Clinics.
- New member kits.
- Any miscellaneous mailers, including Medicare open enrollment letters.
- Returned mail – open and keep all reusable material, log, and update notices of forwarding address' in EZCap and with eligibility department.
- Must communicate verbally and in writing through proper channels.
- Mandatory overtime may apply with this position.
- Willing to work at any company location or department, depending on business needs (if driving for the company then employee must provide current CDL and Auto Insurance).
- Performs all other duties as assigned.
- Bachelor's degree in Business Administration preferred.
- One (1) year of experience with extensive public contact and/or public speaking.
- Proficient with computer programs, i.e., Microsoft Office Suites.
- Experience in social media and/or advertising design preferred.
- Experience with photography/videography a plus.
- Bilingual in English/Spanish preferred.
- Experience in working with seniors (65 ) preferred.
- Must have a valid California Driver's License and current vehicle insurance.
- Strong presentation skills.
- Strong communication skills (verbal and written).
- Able to work as a team player and independently.
The pay range for this position at commencement of employment is expected to be between $26.09 and $30.69. However, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.
If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
