General Summary

  • The Billing and Collections Coordinator is a pivotal role within the financial operations of Balance Physical Therapy and Human Performance Center, Inc. ©, responsible for managing the billing process, tracking outstanding payments, and ensuring timely and accurate collections from patients, insurance providers, and other payers. This position plays a key role in maintaining the company's financial health and supporting the revenue cycle.

  • Essential Job Functions

  • Prepare and review patient bills, insurance claims, and invoices to ensure accurate coding, documentation, and submission.

  • Submit claims to insurance companies and other payers, adhering to billing regulations and payer-specific guidelines.

  • Monitor and track outstanding accounts receivable, following up with patients and payers to secure timely payments.

  • Investigate and address claim denials, identify reasons for denials, and take appropriate actions to rectify and resubmit claims.

  • Accurately record and post payments received from patients, insurance companies, and other payers into the billing system.

  • Communicate with patients regarding billing inquiries, outstanding balances, payment plans, and financial assistance options.

  • Verify insurance coverage and benefits for patients, ensuring accurate billing and minimizing claim rejections.

  • Maintain organized and up-to-date records of billing and collections activities, including correspondence and payment history.

  • Generate and analyze reports on billing and collections performance, providing insights to management for decision-making.

  • Collaborate with the billing team, front desk staff, and clinical team to ensure accurate and timely billing processes.

  • Stay informed about healthcare billing regulations, privacy laws (HIPAA), and industry standards to ensure ethical and compliant billing practices.

Knowledge, Skills, and Abilities

  • Understanding of medical billing procedures, coding concepts (CPT, ICD-10), and reimbursement mechanisms.

  • Proficiency in accounts receivable management, collections processes, and negotiation techniques.

  • Familiarity with insurance verification, claim submission, and payment reconciliation procedures.

  • Strong communication and interpersonal skills for interacting with patients, payers, and internal teams.

  • Ability to identify and address billing discrepancies, denials, and payment issues.

  • Keen attention to detail to ensure accuracy in billing and recordkeeping.

  • Effective organizational skills for managing multiple accounts and tasks simultaneously.

  • Experience with billing software, electronic health record systems, and Microsoft Office suite.

  • Commitment to maintaining confidentiality and adhering to ethical billing practices.

Education and Experience

  • High school diploma or equivalent. Associate's or bachelor's degree in Healthcare Administration, Business, or related field preferred.

  • 1-3 years of experience in medical billing, collections, or accounts receivable management within a healthcare setting.

  • Certified Billing and Coding Specialist (CBCS) certification is a plus.

  • Basic understanding of healthcare industry practices, insurance processes, and billing regulations.

Physical Requirements

  • Hearing: Adequate to perform job duties in person and over the telephone.

  • Speaking: must be able to communicate clearly to patients in person and over the telephone.

  • Vision: Visual acuity adequate to perform job duties, including visual examination of patient and reading information from printed sources and computer screens.

  • Other: Requires frequent lifting and carrying items weighing up to 50 pounds unassisted. Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting, regularly throughout a regular work shift. Requires exposure to communicable diseases, bodily fluids, medical preparations, and other conditions common to a clinic environment.
