What are the responsibilities and job description for the Clinic Coordinator/Billing Assistant position at Balanced Child Pediatric Therapy?
Overview:
The purpose of the Clinic Coordinator position is to ensure the family experience is seamless, welcoming and supportive. Clinic coordinators serve as the bridge between therapists and families. They are responsible for greeting clients and visitors, ensuring the atmosphere is friendly, clean, welcoming and conducive to therapy, and ensuring that therapists have the support they need to provide an exceptional level of care to each family.
Employees in this role are responsible for a variety of administrative support tasks, including answering phones, receiving visitors, preparing common and reception areas, supporting therapists as needed with materials and environmental manipulation, scheduling appointments, and communicating with doctors offices and other professionals as needed. Clinic coordinators are responsible for operating in the best interest of the company at all times.
In addition, we are seeking a billing assistant who will assist with follow up regarding denied claims, accounts receivable and more under the direction of the billing coordinator.
Responsibilities:
- Anticipates and prepares for patient and therapist needs by focusing on patient and therapist interaction, as well as thorough review of patient lists, schedule, and other written tools. Focuses on patient and therapist interaction as another means of anticipating what is needed.
- Greets patient when entering the practice and assists patients to prepare for and complete therapy, such as retrieving needed equipment and supplies and obtaining accurate and updated patient information, such as name, address, insurance information.
- Refers the patient's concerns and questions to the therapist and refrains from independently providing advice or treatment. Follows therapist instructions.
- Cleans all patient care equipment according to company policies including disinfection of items between patients and organizes the treatment space between patients.
- Carries out receptionist duties such as greeting patients, answering phone calls in a timely manner, making phone calls, and handling mail. Assists supervisors and therapists with projects such as gathering data, keeping statistics, preparing mailings, scheduling staff as needed. Assists supervisor in orientation and training of new employees.
- Confirms and schedule appointments.
- Answers telephone calls promptly and courteously.
- Collects co-pays or outstanding balances on the date of service.
- Assists patients and families in completing required paperwork.
- Work with family and builds relationships.
- Communicates and expediently notifies the supervising therapist of any patient delays, damaged equipment, or patient problems or concerns.
- Performs certain follow-up services for patients in a prompt and courteous manner, such as scheduling specialist appointments, scheduling follow-up appointments and obtaining copies lab results or specialist reports
- File and maintain medical records
- Keep abreast on current medical requirements relevant to their position, which includes maintaining patient confidentiality and abiding by all HIPAA and OSHA requirements
Requirements:
- High school diploma or GED.
- One year administrative, reception or related experience or preferred.
- Proficient in English, verbal and written communication.
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
- Ability to deal with problems involving a few concrete variables in standardized situations.
Job Type: Part-time
Pay: $17.00 - $19.00 per hour
