Job Overview:
The Parts Admin. will play a crucial role in ensuring the smooth operation of our parts department by processing daily parts orders, assisting the Parts Manager with stock orders, and maintaining accurate inventory records.
Responsibilities and Duties/Essential Functions:
- Process daily parts orders and assist the Parts Manager with weekly stock orders;
- Match up packing list with invoices / billing;
- Keep track of billed, not received / received not billed;
- Follow department procedure for any discrepancies
- Return unused parts to vendors and ensure dealership receives credits for returned merchandise;
- Properly document and record inventory adjustments;
- Approve and forward matched purchase orders and invoices to the Accounting Department on a timely basis;
- Electronically file company copies of parts counter invoices, service repair orders, checks, deposits, etc.;
- Assist the front office with answering phones;
- Assist / backup the front office with processing deposits and any other requested tasks;
- Assist the Parts Manager with completing month end by the required deadline;
- Assist in preparing for scheduled parts inventory;
- Attend all department meetings;
- Follow all company and manufacturer policies, directives, and procedures;
- Perform any other duties as required.

Physical Demands:
- A majority of the day is spent sedentary behind a desk working on a computer
- Essential physical requirements, such as bending, climbing, lifting, standing, stooping, sitting, or typing.
- Physical effort/lifting, such as sedentary - up to 10 pounds; light - up to 20 pounds
Position Type:
Full time , occasional overtime

Qualifications:
- High School Diploma
- 1-2 years’ relevant experience
- Parts experience: 1year (Preferred)
- Clerical experience: 1 year (Preferred)
