Execute and manage contractual agreements with vendors and service providers, oversee the implementation of contracts, monitor compliance, and assess performance to ensure that City Schools receives high-quality services and products in accordance with established agreements.
Essential Functions
- Manage portfolio of contracts assigned.
- In coordination with the procurement department, assist in preparing, negotiating, and finalizing assigned contractual agreements including Professional Service Agreements, Memorandums of Understanding, Leases, and other agreements.
- Collaborates with district staff to review, edit, and finalize Board letters and meeting and committee agendas.
- Review, interpret, and understand contractual agreements to ensure compliance with legal and regulatory requirements.
- Work closely with departments responsible for the assigned contracts to ensure compliance.
- Monitor contract performance to ensure that vendors and service providers fulfill their obligations as stipulated in the contracts.
- Develop and implement monitoring mechanisms to ensure compliance with contract terms, including timelines, quality standards, and budgetary constraints.
- Conducts site visits as determined appropriate to monitor contractor activity and adherence to performance standards. Facilitates contractor accountability for delays, cost overruns, and timeliness of services or deliverables. Assists in the resolution of contract disputes.
- Develops compliance processes and procedures in accordance with City, State, Federal policies, and laws including District regulations and policies for assigned contracts.
- Conduct regular audits and assessments to identify any deviations from contractual requirements and take appropriate corrective actions.
- Work with procurement to evaluate vendor performance based on predefined metrics and performance indicators.
- Work with procurement to provide feedback to vendors regarding areas of improvement or non-compliance with contractual obligations.
- Recommend contract modifications, extensions, or terminations based on performance evaluations and assessments.
- Proactively address any issues or concerns that may pose a risk to the successful execution of contracts.
- Works with procurement to investigate and document incidents of contract non-compliance or default and makes recommendations on sanctions, terminations, and / or appropriate courses of action.
- Collaborate with various departments within the school system to coordinate contract activities and resolve any issues or disputes that may arise.
- Maintain detailed records of contract terms, deliverables, milestones, and key performance indicators.
- Communicate contract performance metrics and compliance status to relevant stakeholders, including senior management and school administrators.
- Provides monthly and ad-hoc reports on assigned City School contracts.
- Utilizes resources appropriately to complete work in the most efficient manner; proactively communicates the status of work; participates and contributes fully as a team member; and exercises sound judgment and decision-making skills to resolve sensitive matters.
