SUMMARY:
The Order Management Specialist will be responsible for managing sales orders, processing documents, and collaborating effectively with stakeholders. The ideal candidate will ensure the timely and accurate entry of sales orders, ensuring smooth order fulfillment and tracking throughout the process. The role requires strong attention to detail, critical thinking, an understanding of order processing workflows, and proficiency in using operating systems for managing order entry, documentation, and inventory control.

RESPONSIBILITIES:
- Understand company Mission, Vision, and Values and be an ambassador of these principals.
- Order Entry: Review and accurately enter sales orders via company’s operating system, and assign the orders to correct fulfillment centers based on inventory level and geographic location.
- Document Upload & Management: Upload and manage order-related documents such as contracts, permits, Hours of Operation, and others as needed to the customer record.
- Order Processing: Ensure orders are processed in a timely manner and communicate with internal teams and customers as required regarding any discrepancies or delays.
- Customer Support: Serve as a point of contact for internal teams and customers to resolve order-related issues or queries related to inventory or order status.
- Reporting: Generate regular reports related to order statuses, accuracy, time to process, and other metrics as deemed appropriate by the company.
- Quality Control: Review and verify the accuracy of all order entries and documentation to ensure compliance with company standards and customer expectations.
SKILLS:
- Proficient in order entry, inventory tracking, and document management.
- Strong knowledge of order processing workflows and best practices.
- Ability to handle multiple tasks simultaneously and meet deadlines.
- Working knowledge of NetSuite is preferred.
- Excellent communication skills, both verbal and written.
- Strong attention to detail and accuracy in data entry.
- Ability to prioritize tasks and work efficiently under pressure.
- Proficiency in multiple office-based systems such as Google Sheets and Microsoft Excel.
- Strong experience using operating systems for order entry, document management, and inventory tracking.
- Proven experience in order management, sales support, or similar roles.
- Familiarity with inventory management principles and processes, and the ability to visualize inventory levels.
REQUIREMENTS:
Education: High school diploma or equivalent; a bachelor’s degree in business administration, Supply Chain Management, or a related field is a plus.
WORK ENVIRONMENT: The usual work environment is typical of an office environment. Ability to work independently and as part of a team in a fast-paced environment. The noise level in the work environment is usually moderate with no material or weather-related hazards except those associated with travel.
