What are the responsibilities and job description for the Document Imaging Coordinator position at BANK OF MARIN?
Bank of Marin, voted by our employees as one of the “Best Places to Work” in the North Bay Business Journal, is seeking a Document Imaging Coordinator to join our Imaging and Administrative Services team located in our corporate office in Novato, California.
This position acts as the key individual responsible for Document Management and Imaging activities and provides a wide variety of operational and technical support.
1. Document Management and Quality Assurance
- Support the development and ongoing implementation of a comprehensive Records and Data Management program based on industry’s best practices, ensuring adherence to all regulations, policies, and procedures by Bank personnel.
- Implement identified changes to maintain high standards within the Records and Data Management program and conduct quality control reviews of electronic and physical documents.
- Create ad hoc reports to accommodate Audit and Compliance requests and coordinate offsite storage requests, including quarterly reporting and document review.
2. Record Retention and Compliance Support
- Support the enforcement of record retention policies and procedures by assisting staff with understanding and adhering to requirements.
- Participate in compliance initiatives, including imaging projects and shared drive cleanups, to ensure departmental and organizational adherence to retention standards.
- Leverage training and provide materials to educate staff as needed and assist with ensuring compliance across departments.
3. Technical Troubleshooting and System Optimization
- Provide Tier-2 support for technical issues, including troubleshooting complex problems with user access and various applications.
- Open and coordinate support cases with application vendors, as needed and instructed by the Lead or Manager, to resolve issues that cannot be addressed in-house.
Professional / Educational Experience:
Associate’s degree or 2-3 year’s previous work experience in a high pressure, multi-tasking operations environment and / or equivalent combination of education and experience.
The hiring pay range for this position is $25.96 to $35.04. In addition to the pay range listed, all bank positions are eligible for incentive compensation, which varies based on role. The pay rate for a successful applicant depends on a variety of factors including but not limited to geographic location, work experience, education, and/or skill level.
