SUMMARY
Provide account maintenance and administrative assistance to the Administrative Officers (AOs) in managing portfolios of personal trust, agency, employee benefit, and IRA accounts.
ESSENTIAL FUNCTIONS
- Manage daily cash flow of accounts using the daily cash report, initiate money market and cash transfers to avoid overdrafts as needed.
- Process daily mail and provide suggestion for recommended action to AO.
- Input disbursements and scheduled remittances for newly received invoices.
- Forecast client cash needs forward 30 days against reserves and provide estimates of liquidity needed to AO.
- Review all prior day account transactions for accuracy and completeness and advise AO of any discrepancies.
- Perform routine account file maintenance including imaging, paper filling, research and retrieval.
- Serve as liaison between administration and Wealth Management Operations on issues related to account maintenance and transactions.
ADMINISTRATION DUTIES
- Provide client service in support of assigned AO by responding to incoming telephone calls and client inquiries.
- Perform research as needed in response to client inquiries and prepare routine written correspondence on behalf of AO.
- Prepare required back up documentation for annual account reviews and provide to AO.
- Prepare discretionary request documentation as needed and provide to AO.
- Create and maintain master tax spreadsheet for oversight and tracking of trust tax reporting.
- Prepare required forms for reporting to Trust Administrative Committee (TAC) for account acceptance, account opening, account closing, etc. as requested by AO.
- Assist AO with collection and set up of assets.
ADDITIONAL FUNCTIONS
- Maintain orderly workflow in the absence of assigned AO.
- Perform special projects and research as assigned.
- Perform other duties as assigned.
COMPLIANCE RESPONSIBILITIES
Must be familiar with all deposit related regulations and receive training on a regular basis as appropriate. This includes but is not limited to BSA and Closing Procedures. Employee must follow all policies and procedures as set forth by the Bank as well as any regulations.
The employee must be able to take and pass all the required regulatory training as outlined by the Bank on a quarterly basis.
This employee must adhere to all security related procedures of the Bank including Branch security, protection of customer information and security as it relates to the Bank’s internet and technology systems.
SUPERVISORY RESPONSIBILITY
The position of Administrative Associate I is not responsible for the supervison of any employees within the department.
ENVIROMENTAL AND PHYSICAL ACTIVITY
The Administrative Associate I is in a non-confined office-type setting in which he or she is free to move about at will. It may include some minor annoyances such as noise, odors, drafts, etc.
This employee, in the course of performing this position, spends time writing, typing, speaking, listening, lifting up to 15 pounds, carrying, sitting, pulling, walking, standing, squatting, kneeling, and reaching.
This employee, for this position, may operate any or all of the following: telephone, cellular telephone, copy and fax machines, adding machines (calculator), check protector, encoder, money counter, typewriter, computer terminal, personal computer, and related printers.
