Summary Of Position
Under the direction of the Facilities & Security Manager, the Facilities & Security Assistant assists in organizing and coordinating the facilities’ maintenance and physical security of all locations the bank occupies, with a primary focus on its headquarters location.
- Screening visitors, vendors and external parties upon entry to the building
- Receiving guests from the lobby reception desk as necessary, such as during Board of Directors meetings
- Performing administrative tasks as assigned by the Facilities & Security Manager
- Ensuring efficient operation and organization of the mailroom; tracking all inbound mail, sorting to respective departments and distributing as needed
- Assisting with access control management at HQ location, including key, ID badge and FOB distribution, collection and tracking
- Assisting with the management of the Bank’s visitor registration and hotel office booking system
- Assisting with ordering, setting up and invoice tracking of weekly office lunches
- Acting as a back-up to the Facilities & Security Coordinator for the following duties:
- Performing daily camera reviews to ensure cameras are streaming and recording properly
- Performing security training during new hire orientations
- Performing monthly branch inspections
- Responding to after-hours alarm alerts and monitoring security cameras
- Working on special projects as requested
- Must be proficient in Microsoft Suite with an emphasis on Outlook
- Able to contribute positively as part of a team
- Ability to work effectively with a strong will to help others
- Strong attention to detail and highly organized
- Excellent written and verbal communication skills
- Thrives in a high-pressure environment
- Perform assigned tasks accurately and on a timely basis
- Ability to recommend process improvements in the department to enhance efficiency
- Adheres to all applicable Policies and Procedures
- Ability to lift up to 10 pounds occasionally and the ability to sit, stand or remain in one position for long periods of time, specifically the reception desk
