We’re seeking an experienced Payroll & Benefits Manager to bring excellence and accuracy to our payroll and benefits administration, leading our payroll function with an expert’s eye for detail, compliance, and efficiency.
Position Details:
- Reports to: Vice President of HR
- Schedule: Full-time, Monday-Friday 8:30 am – 5pm
- Location: Pompano Beach, FL (On-site) with the flexibility to work from home one day per week after the onboarding period.
Position Summary:
The Payroll & Benefits Manager will lead all payroll-related operations, ensuring compliance, accuracy, and seamless execution of payroll and benefits functions. This role requires a hands-on expert in payroll who can tackle complex issues, lead system cleanups, and payroll system transition. They will also oversee benefit administration reconciliation, provide support to HR and finance, and ensure adherence to payroll compliance standards.
Key Responsibilities:
Payroll Processing and Compliance
- Manage end-to-end payroll processing for a bi-weekly cycle, covering multiple states and ensuring compliance with federal, state, and local tax laws.
- Perform daily payroll operations, including tax calculations, payroll interfaces, payroll closing, and cost allocations.
- Ensure accurate and timely payroll adjustments, deductions, and garnishments.
- Manage compliance with local, state, and federal payroll regulations, including minimum wage and FLSA changes.
System Management and Process Improvement
- Lead cleanup and optimization of payroll data within UKG, ensuring system accuracy and preparing for a transition to ADP.
- Identify and implement process improvements for payroll and benefits efficiency.
- Collaborate with HR and IT to optimize payroll software, including ADP Essential Timekeeping, to ensure accuracy and system maintenance.
Reconciliation and Reporting
- Oversee payroll reconciliations, including insurance, retirement (401(k)), and general ledger reconciliations.
- Manage monthly and year-end payroll close processes, ensuring timely preparation of journal entries and accurate reconciliation.
- Prepare and submit quarterly and annual payroll tax reports, including W-2s, and ensure SOX compliance standards are met.
- Generate payroll reports for management, support financial reconciliations, and assist in audit preparation.
Benefit and Retirement Administration
- Coordinate with benefits team for accurate deduction, reconciliation, and payment of health insurance, retirement contributions, and other benefits.
- Reconcile benefit payments with providers and address discrepancies, ensuring compliance with benefits regulations.
- Administer employee time-off requests, accruals, and retirement (401(k)) contributions, troubleshooting variances in contributions.
Employee Support and Collaboration
- Act as the primary point of contact for payroll-related inquiries from employees, resolving issues and discrepancies.
- Work closely with HR and finance to address payroll-related inquiries and maintain accurate payroll registers and balance sheets.
- Train HR team members on payroll procedures, compliance, and system updates, enhancing payroll knowledge across the department.
Compliance and Documentation
- Maintain accurate records for internal and external payroll audits, supporting FLSA and wage audits as needed.
- Develop, update, and maintain Standard Operating Procedures (SOPs) for payroll processes.
- Conduct regular audits to ensure payroll data integrity and accuracy, including validation of final reports and analysis of payroll variances.
Required Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of 5-7 years in payroll management with demonstrated expertise in payroll administration, benefits integration, and regulatory compliance.
- Experience with UKG (Ultimate Kronos Group) and ADP systems, particularly in payroll system transitions.
- Strong knowledge of federal, state, and local payroll and tax laws, with a background in multi-state payroll processing.
- Analytical and detail-oriented with a track record of successfully troubleshooting payroll discrepancies and managing high-volume payroll.
- Excellent interpersonal and communication skills, able to explain technical payroll matters to non-experts and collaborate with diverse teams.
