Position Overview: The Executive Administrative Assistant will be responsible for managing the day-to-day operations of the CEO’s office. This role requires a high degree of organization, attention to detail, and proficiency in various administrative and project management tools. The ideal candidate will be personable, efficient, and capable of handling multiple tasks simultaneously.
Key Responsibilities:
- Manage the CEO’s calendar, scheduling meetings, and coordinating appointments.
- Handle email correspondence, mail, and phone calls with professionalism and discretion.
- Make travel arrangements and prepare itineraries.
- Attend meetings with the CEO, take minutes, and follow up on action items.
- Utilize Microsoft Suite applications (Word, Excel, PowerPoint, Outlook) expertly.
- Proficiently use web-based applications such as Monday.com or Basecamp, Canva, Dropbox, and Google applications.
- Assist with project planning and execution.
- Maintain a high level of organization and time management.
- Interact professionally with patients, vendors, and staff.
- Ensure all tasks are completed by deadlines.
Qualifications:
- Proven experience as an executive administrative assistant or similar role.
- Exceptional organizational and time management skills.
- Strong proficiency in Microsoft Suite applications.
- Excellent verbal and written communication skills.
- Proficient in web-based project management and collaboration tools.
- Detail-oriented with a strong work ethic.
- Personable and capable of building positive relationships with patients and vendors.
- Good phone etiquette.
- Ability to work in a fast-paced environment and handle confidential information with integrity.
