Summary :

The Scheduler is responsible for utilizing clinical knowledge to schedule appropriate procedures and surgeries based on provider orders. This role involves scheduling office-based and outpatient procedures that align with the patient’s diagnosis and procedure requests. Exceptional customer service skills are essential, as the Scheduler will interact with patients, employees, surgery center staff, hospital personnel, and the public. The Scheduler must efficiently handle written and oral correspondence related to scheduling changes or cancellations in a timely and accurate manner. Strong organizational skills and the ability to manage a demanding workload with precision are critical. This position requires frequent communication with a diverse client base. Bilingual proficiency in Spanish is strongly preferred.

Essential Duties and Responsibilities :

Schedules and reschedules office and outpatient medical procedures, for patients with appropriate provider and time / location slot, utilizing appropriate scheduling procedures, surgical assist, medical representative assistance and equipment.

Schedules and reschedules office and outpatient medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency.

Enter notes / special instructions needed for scheduling in the electronic medical record.

Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis / indications indicated by the provider.

Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.

Works closely with insurance and billing manager to prevent mistakes and delays in care.

Ensures patients have proper medical clearance and pre-surgical testing as needed.

Completes pre-procedure phone calls and confirms appointment times with patients via telephone.

Assists other members of the department as needed.

Communicates reports in a concise, informative manner.

Qualifications :

Education : High School Diploma or general equivalency diploma (GED), medical assistant diploma or certification from an accredited vocational institution or a community college course in medical assisting preferred.

Experience : One year of recent experience working in a medical facility as a scheduler and / or documented evidence of externship completed in a medical office preferred. Familiarity with ModMed / EMA system is a plus.

Bilingual in Spanish / English is strongly preferred.

Skills :

Skill in performing scheduler tasks appropriately.

Skill in diplomacy and tact in interpersonal interactions.

Skill in understanding patient education needs by effectively sharing information with patients and families.

Work Environment :

This position will be based on-site in a clinic.

Physical Demands :
