ADMINISTRATIVE ASSISTANT
The Administrative Assistant is tasked with handling homeowner phone calls, managing Accounts Payable, communicating with homeowners as needed supporting the Office Manager with 6D Certificates and control of the public buildings in accordance with policies and procedures established by Barkan Management, in conjunction with the wishes of the KWCT and KWT Boards.
DUTIES AND RESPONSIBILITIES
- Front office: represent the company with professionalism and friendliness, answer inquiries and/or direct to appropriate persons
- Homeowner communications.
- Ensures work orders are correctly and quickly enteredto facilitate timely responses. Works closely with manager to assist in homeowner communications regarding status of work orders.
- Monitor multiple phone lines using ESI phone system: forward calls, take/give messages, update clock settings, record and program multiple auto answer/greeting modes.
- Real Estate transactions such as 6-D requests, certificates of insurance, and condo affidavits as required
- Maintains Meeting House calendars; takes reservations, follows up with applications and checks.
- Interfaces with cleaning service to book services, and ensures it meets needs and expectations.
- Website administration enable homeowners’ access.
- Filing, copying, and faxing as needed in support of department and Trusts.
- Collects and enters data into Kings Way Homeowner Database.
- Processes accounts payable through the Yardi system. Manages accounts payable files by vendor and year.
- Social Events: Office contact for Social Director and Kings Way club committees. Promotes Kings Way events. Updates slideshow in post office with current/relevant information. Maintain supply of flyers in Social Room.
- Routinely checks Post Office and Social room to ensure tidy and in order.
- Any other duties or tasks assigned by the Property Manager.
Job Type: Full-time
Pay: $24.00 - $28.00 per hour
Expected hours: 40 per week
