Job Description:
Reporting directly to the Account Executive for Barkan Management, and indirectly to the Board of Directors, this staff position is directly responsible for the management of a comprehensive lifestyle program and a program of communications in support of the residents of this large Home Owners Association in Plymouth, MA. Ensure that all programs and services are conducted and fulfilled in a manner consistent with the goals and objectives of Barkan Management and the Homeowner's Association.
Primary Responsibilities:
- Plan and coordinate and implement a wide range of resident programs, classes, and special community-wide events. Solicits input and involvement from the HOA BOD, chartered clubs, and residents. Communicate and coordinate activities with the BOD, as needed.
- Responsible for a comprehensive communications program to support and promote events and to ensure the effective distribution of information to residents. Communications should include the creation of a monthly newsletter and the distribution of community updates of pertinent information. Update and distribute community reference lists and databases as required.
- Responsible for overseeing the effective administration of the Pool and Clubhouse. Sends clubhouse invoices to Barkan’s bill pay address and manages the clubhouse checking and credit card accounts. Issues and/or replaces resident swipe cards. Conducts a security/safety walk-through each morning. Oversees operations including cleaning, maintenance, and repairs of the clubhouse, and related facilities, as needed. Creates and distributes monthly volunteer concierge/front desk schedule. Maintains the clubhouse operating manual and organizes files related to the clubhouse.
- Develop and organize volunteers to help execute and manage resident programs and clubhouse operations. It is expected that this HOA will maintain a high level of volunteer participation to carry out the organization and administrative responsibilities necessary to achieve the community’s lifestyle objectives. Work with chartered clubs to assist them in developing self-sustaining operational procedures.
- Lifestyle Director duties include assisting in the management of the monthly New Homeowners' Welcoming Program; bi-annual New Homeowners' Orientation Program; HOA meetings, maintaining the annual master calendar, and scheduling all space allocation and clubhouse rentals including a monthly schedule for set-up and break-down of all events; maintain advertising contracts for newsletter; work with residents to establish charter clubs and maintain charter club manuals; and maintain tennis and pickleball court reservations.
Secondary Responsibilities:
- Attend Board and Activity Committee meetings and corporate training programs; work with Barkan Management and provide Support at the Clubhouse Front Desk.
- Provide resident orientation on fitness equipment as needed; conduct weekly Yoga classes or other fitness or lifestyle classes as agreed upon by the Board of Directors.
- Partner with various off-site community-based organizations to present programs of interest to residents.
- Attend regular meetings of Charter Clubs as needed.
