Summary
We are seeking an Assistant Property Manager to join our dynamic team at Barker Apartments in QC. This role is essential in supporting property management operations and enhancing resident satisfaction. The Assistant Property Manager will play a vital role in ensuring smooth daily operations and maintaining high standards of service.

Essentials Duties and Responsibilities
- Answer phones, file, tour, and lease apartments, etc.
- Maintain positive resident relations/customer service
- Review work orders regularly to ensure timely completion, assess problems and
resolutions, write work orders and follow up on daily answering service reports.
- Develop and copy office forms, letters, and notices as needed
- Resolve minor concerns or issues (with help of manager if needed)
- Process 30-day notices, enter into Yardi and figure pro-rated amount
- Process rental applications, prepare new leases and move-in files and walk apartments before move-in
- Make keys (apt., mailbox, garage, etc.) and issue keys to new residents and contractors
- Process and prepare renewal leases
- Schedule for paint, cleaning and carpet on make ready board
- Periodically check that the painting and carpet are done to our satisfaction
- Make move in folders, move out packets and welcome folders
- Update paint type in Yardi
- Walk move outs and update make ready board
- Tag abandoned property
- Open mail and assort accordingly
- Check and respond to property emails
- Callbacks
- Send utility bill notification of disconnect
- Figure and track utility bills and enter into computer and track dates for move outs
- Complete deposits (minimum 2 per week), enter and post all checks
- Track, update, and prepare auto rents
- Track resident referral program and send referral bonus information
- Send past due balances
- Send debit notices and report to Manager
- Send Cure to Quit notices and report to Manager
- Send NSF and report to Manager
- Send credit notices
- Decide with Manager what to proceed to court on
- Decide upon initiating residents eviction proceedings with Manager
- Update court and collections proceedings as needed
- Track, locate and work with collection accounts
- Process security deposits returns and mail out
- Compute renewals, review with Manager and send out renewal letters by the 20th
- Call renewals, send out MTM leases and letters of effects as needed
- Be sure to follow the weekly flyering schedule per the marketing binder and complete on a regular basis.
- Assist with employee Issues (w/help from Property Manager, Regional Manager, Vice
President and Owners, if needed)
- Responsible for fresh marketing ideas and attending fairs
- Monitor vehicles, which are parked in the same areas and contact residents or Courtesy Officers. Decide if a tow company needs contacted with Property Manager.
- Develop flyers and brochures (keep supply on hand for tables and brochure box)
- Keep welcome packet information up to date (coupons, etc.) and make packets
- Organize Christmas door decorating contest, Toys for Tots and Halloween
- Post holiday closing signs.
- Deliver brochures to colleges, universities, hotels and motels
- Send out marking letters
- Attend housing fairs and distribute Barker Apartments, QC property information
- Print Roommate Directory with Rentable Item Report for Maintenance Technician that is on call, if needed
- Knowledge of Yardi and rental software
- Utilize memo section in Yardi for any relevant tenant discussions, violation letters, etc.
- Opening and closing duties
- Monitor pool during working hours (if applicable)
- Walk property minimum of once every month to ensure that grounds, buildings, and
garages are well maintained
- Email completed applications to the Property Manager for review and approval or denial.
- Resolve resident concerns (with help from Property Manager, Regional Manager, Vice
President or Owners, as needed)
- Update and maintain garage and storage closet book and wait list
- Update and maintain employer list and company eligibility discount
- Inventory office supplies monthly
- Participate in job and safety training as required or requested
