SUMMARY OF POSITION: Barnes & Thornburg LLP is seeking a highly organized, detail and service-oriented legal administrative assistant for its Chicago office to support an assigned group of litigation attorneys. The position will involve direct assistance to firm clients. Applicants must have experience working on litigation matters in a law firm environment and possess the ability to exhibit discretion and diplomacy when working on confidential matters and in sensitive situations. This position will be an excellent fit for self-starters who enjoy anticipating the needs of the assignment and who will be proactive in managing work flow.
TECHNOLOGY REQUIREMENTS: TECHNICAL DUTIES AND RESPONSIBILITIES/REQUIREMENTS:
Ability to create, revise, format and finalize a wide variety of legal documents, spreadsheets and presentations using the firm’s software; document comparison; transcription of dictation; produce litigation-specific work such as pleadings, briefs, e-filings, Tables of Authorities/Contents, legal numbering, discovery binders, etc. Knowledge and experience with filing pleadings in State and Federal trial courts, Courts of Appeals and Supreme Courts, communicates with court staff as necessary; keeps current with changes in court rules and filing procedures. Performs general research and other support activities to assist attorneys. Excellent proofreading skills as well as the ability to identify and question inconsistencies in materials and organize and maintain a high volume of paper and electronic files in compliance with firm policy.

Responsibilities include managing attorney calendars; meeting preparation and scheduling (including conference calls); travel arrangements; new business intake (including conflict checks); entering and finalizing attorney time; working with accounting staff to manage attorney billing; manage expense reimbursements; assisting with phone and e-mail inquiries, and other responsibilities that may arise.

Knowledge, Skills And Abilities Required
- The ability to work the core business hours of 8:30 am – 5:00 pm with flexibility to occasionally work overtime, as required.
- Ideal candidates will have 5 years of experience as a legal administrative assistant in a law firm setting, including two years of experience supporting litigation attorneys.
- Outstanding organizational skills and advanced proficiency in the MS Office Suite with a minimum typing speed of 60 WPM are required.
- Familiarity with the firm’s current software relevant to the position is a plus and includes Intapp Time, Linear, Chrome River, Adobe Pro, iManage, Workshare Compare.
- A High School diploma is required.
