Job Overview:
We are seeking a highly organized, efficient, and proactive Office Manager to join our team. The Office Manager will oversee the office's daily administrative operations, ensuring a smooth, productive work environment. This role involves managing office supplies, coordinating activities, and supporting leadership and staff in optimizing operations.
Key Responsibilities:
Office Administration:
· Oversee the daily operations of the office and ensure it is running efficiently.
· Manage incoming calls and emails and address inquiries promptly.
· Organize and maintain office filing systems, both physical and digital.
· Serve as the primary point of contact for internal and external communications.
· Manage office supplies, including inventory, ordering, and organizing.
· Track and manage office-related expenses.
· Process invoices and ensure timely payment for office services and supplies.
· Handle scheduling and coordination of meetings, conferences, and appointments.
Facility Management:
· Ensure office space is organized, clean, and properly maintained.
· Manage relationships with vendors and service providers (e.g., cleaning, maintenance, office equipment).
· Coordinate office repairs and maintenance as needed.
Human Resources Support:
· Assist with employees onboarding, ensuring all necessary materials and supplies are provided.
· Manage employee time-off records and assist with other HR administrative tasks.
· Maintain office policies and procedures, ensuring compliance with company standards.
· Team Support:
· Provide administrative support to senior leadership and team members as needed.
· Ensure the office complies with health and safety regulations.
· Maintain emergency procedures and ensure office staff are aware of protocols.
Qualifications:
· Proven experience as an office manager, admin assistant, or similar role
· Exceptional organizational and multitasking skills
· Completes tasks quickly without sacrificing quality.
· Prioritizes effectively to meet deadlines and avoid bottlenecks.
· Owns responsibilities and follows through consistently.
· Anticipates needs and takes initiative without waiting to be asked.
· Strong communication and interpersonal abilities
· Proficiency with office software and equipment, including Microsoft Office (Word, Excel, Outlook, PowerPoint)
· Experience with QuickBooks and office management tools is a plus
· Handles confidential information with sensitivity and integrity.
· Ability to work both independently and collaboratively
Additional Skills Preferred:
· Truck dispatch and scheduling.
· Experience with budget tracking and financial record-keeping.
· Knowledge of HR processes and systems.
· Social media experience
Education & Experience:
· High School Diploma or equivalent; Associate’s or Bachelor’s degree preferred.
· 5 years of experience in office administration or a related field.

Compensation:
$25.00 – $31.50 per hour, DOE

Per RCW 49.44.240-3(g) Pre-employment and random drug testing are required for this safety-sensitive position.
