JOB DESCRIPTION
POSITION TITLE: FINANCE COORDINATOR
The Finance Coordinator is responsible for assisting daily fiscal operations of the agency. The position assists the Senior Director, Administration and Finance in meeting the financial requirements of the agency and assures compliance of over 20 federal and state grant funding sources. This position ensures smooth execution of agency-wide grant requirements and in-kind processes. This is a full time, non-exempt position hired by, and directly accountable to, the Senior Director, Administration and Finance under the direction of the Executive Director.
SPECIFIC DUTIES:
- Maintain high level of professionalism including personal integrity, ethical decision-making, and the confidentiality standards of the agency
- Works independently on routine and assigned bookkeeping and accounting tasks as directed by Senior Director, Administration and Finance.
- Work directly with the Finance Department to monitor daily transactions for compliance with grant requirements and ensure compliance as designated by grant budgets.
- Compiles and monitors all accounts payable, recording transactions, and preparing weekly payments of invoices with accuracy and completeness.
- Process monthly credit card expenses as submitted by staff.
- Setup new vendors in accounting software, collect and maintain necessary documents for vendors.
- Maintain vendor files in compliance with organization documentation retention policy.
- Monitor and track fixed asset inventory including quarterly monitoring.
- Provide additional documentation to funders when required. Prepare grant monitoring documentation as requested by the Senior Director, Administration and Finance.
- Review and calculate in-kind match monthly.
- Assist with the annual audit process by preparing necessary documentation and reports for audit compliance and oversight.
- Attend meetings as required and assist the Senior Director, Administration and Finance, as needed.
- Maintain robust internal controls to safeguard organizational assets and ensure compliance with financial policies.
- Delivers with timeliness, accuracy, completeness, and effectively, to the highest ethical standards, and in accordance with generally accepted accounting principles for non-profit entities and in accordance with the organizations’ mission values, and universal standards.
- Perform all other duties as assigned by the Senior Director, Administration and Finance and Executive Director.
REQUIRED QUALIFICATIONS:
- A minimum of an Associate’s Degree or at least 5 years of experience. Any combination of education and experience that demonstrates the knowledge and ability to perform the work. Experience with non-profit accounting is desirable but not required.
- Proficient in general accounting principles and record keeping systems.
- Basic understanding of grant budgets and rules around allowable expenses.
- Computer/PC skills: Microsoft Office, especially Microsoft Excel; Teleconferencing platforms; Sage or similar database- required.
- Must possess attention to detail and strong organizational skills to operate efficiently in both electronic and paper filing systems, handle sensitive information and maintain highest level of confidentiality.
- Ability to work under highly stressful, crisis-oriented situations.
- Professional level oral and written communication skills; ability to interact with individuals at all levels, including significant community relations.
- Adhere to the Revised Member Program Service Standards of ZeroV.
- Commitment to complete required training for Certification as Domestic Violence Advocate.
- Completion of First Aid, CPR, and Blood-borne Pathogen Training.
- Valid Kentucky driver’s license and proof of vehicle insurance.
- Submit to a criminal background check.
- Represents the organization in a professional manner to all customers, vendors, and internal personnel.
- Be self-motivated, resourceful, creative, and able to work well in a team driven environment.

· Employee begins accruing vacation & sick time off on day one of employment. Employees accrue 8 hours of vacation & 8 hours of sick time per month, equaling 12 vacation days & 12 sick days per year.
· 11 Paid Holidays per year. Staff who work on Holidays will be paid 1.5x their normal rate in lieu of a paid holiday. The employees' birthday is one of the 11 Paid Holidays each year.
· Paid Parental Leave of up to 6-weeks paid, up to 12-weeks total.
· Paid Medical Leave of up to 6-weeks.
