We are seeking a reliable and detail-oriented Accounting/Payroll Clerk to join our team. This role will be responsible for supporting the operations of the organization’s accounting department by handling administrative tasks to ensure proper financial documentation. This position will also be responsible for processing and managing employee payroll, ensuring that all wages, benefits, and deductions are accurately calculated and disbursed on time. This position requires a high level of organization, accuracy, and an understanding of payroll systems and regulations.
Key Responsibilities:
- Payroll Processing: Calculate and process employee paychecks accurately and on time, including regular wages, overtime, bonuses, and commissions.
- Data Entry: Input and maintain employee payroll data in the payroll system, including personal information, pay rates, deductions, and benefits. Posting financial transactions using appropriate systems.
- Compliance: Ensure payroll processes comply with federal, state, and local labor laws and tax regulations, as well as company policies.
- Deductions & Benefits: Administer employee deductions for taxes, insurance, retirement plans, garnishments, and other benefits. Ensure that all deductions are correctly applied.
- Recordkeeping: Maintain accurate and uptodate payroll records, including timesheets, tax forms (W2, W4, etc.), and payment history. Checking the accuracy of financial reports, figures, and postings. Maintain a financial filing system.
- Reconciliation: Reconcile payroll discrepancies and resolve any payrollrelated issues, including overpayments, underpayments, or incorrect deductions.
- Reporting: Generate and distribute payroll and other financial reports to management and accounting departments for auditing and financial purposes.
- Confidentiality: Maintain the confidentiality of payroll information and sensitive employee data.
Required Qualifications:
- High school diploma or equivalent; associate’s degree in accounting or business preferred.
- Proven experience as an accounting or payroll clerk or in a similar role, with at least 12 years of experience in payroll processing.
- Knowledge of accounting and payroll software and systems (e.g., ADP, Paychex, QuickBooks, or similar).
- Strong understanding of labor laws, tax regulations, and wage laws.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Excellent attention to detail and organizational skills.
- Strong communication and interpersonal skills, with the ability to handle sensitive information professionally.
- Ability to work independently and manage time effectively.
Preferred Qualifications:
- Certification in payroll (e.g., Certified Payroll Professional, CPP).
- Experience working in a highvolume payroll environment.
- Familiarity with human resources (HR) processes and software.
Working Conditions:
- Fulltime position, typically Monday through Friday.
- Office environment or remote work, depending on company policies.
- Overtime may be required during peak payroll periods.
Additional Requirements:
- Must be 21 years of age.
- Must have a valid driver license.
- Must pass drug screen, criminal background check and driver’s license check.
