What are the responsibilities and job description for the Benefits Specialist position at Barton College?

Barton College is seeking a Benefits Specialist who will focus on multiple areas of People and Support for the College with a specialty in benefits and HRIS, in addition to providing backup to the payroll administrator and general support where needed.

Essential Functions:

HRIS:

· Maintains HRIS information by collecting, analyzing, calculating, entering, and retaining data on the HR Information systems (Employee Navigator/ADP) and in relevant payroll and employee files.

· Prepares weekly, monthly, quarterly, and year-end reports for management as needed.

· Maintains employee confidence and protects data by keeping information confidential.

· Works with the broker and other outside entities to facilitate the use of systems, the accuracy of data, reporting needs, connection with vendors, etc.

Benefits Administration:

· Assists in benefits administration to include employee enrollment, payroll processing, claims resolution, and preparation of check requests for all benefit payments.

· Assists in facilitating management and employee understanding of benefits enrollment/change procedures. Responds to questions and requests according to department standards.

· Maintains record of insurance coverages, pension plan participation, and other HR transactions, for new hires, promotions, transfers, and terminations.

· Assists in annual enrollment process to include scheduling of meetings, material preparation, answering questions, and processing changes within established deadlines.

· Prepares reports for insurance carriers and census data for acquiring bids for benefit coverage.

· Provides information to supervisors, co-workers, and students by telephone, in written form, e-mail or in person.

· Keeps current on applicable state and federal laws associated with benefit administration and ERISA compliance requirements.

· Coordinates preparation and filing of annual 5500s.

· Keeps plan documents up to date and ensures timely distribution of summary plan descriptions (SPDs) and required notices to employees.

· Works with auditors annually to ensure data is accessible for the 403b plan (in concert with the Payroll Administrator).

Other Areas:

· Provides generalist support in all areas of HR as needed to include but not limited to:

o Attends committee meetings as necessary and assists with other campus-sponsored projects.

o Answering employee questions

o Processing incoming mail, creating and distributing documents, preparing reports/spreadsheets,

o Serving as a point of contact for vendors

o Serving as backup to other staff in People & Support as needed.

o Performs other related duties as required and assigned.

Desired Education, Skills, and Experience:

· Bachelor’s degree in HR, Business or related field or equivalent in related work experience.

· 2-3 years prior experience in HR and Higher Ed preferred with particular focus on Benefit/HRIS administration.

· Must be proficient in using Word, Excel, and PowerPoint.

· Excellent verbal and written communication skills required with the ability to effectively interact and communicate with all levels within the organization and outside contacts as well.

· Ability to be discreet in handling confidential and proprietary information appropriately.

· Proven track record of reliability, responsibility, and integrity.

· Strong problem-solving skills.

· Must be able to effectively operate in a fast-paced environment and have the ability to work independently of direct supervision.

· Must be adept at problem-solving, including being able to identify, and resolve issues independently and on a timely basis.

· Must possess strong interpersonal skills

  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities as to use time efficiently
  • Must be organized, accurate, thorough, and able to monitor work for quality
