Summary of Position :

The Administrative Coordinator for the Skilled Nursing Facility reports directly to the SNF Director of Nursing. The position is responsible for ensuring the facility is following State and Federal regulations and providing person centered care by assisting the Director of Nursing with daily monitoring, auditing, etc. The position is responsible for assisting in maintaining the supplies, staffing, and required task completion to ensure regulatory compliance.

Qualifications

Education :

  • High School Diploma

Experience :

  • Skilled Nursing / Long Term Care experience preferred
  • Previous office experience required
  • Knowledge / Skills / Abilities :

  • Computer skills required- Google, Microsoft, etc. required
  • Medical terminology preferred

  • Normal office environment. The noise level in the work environment is usually quiet to moderate while in the office.
  • Occasional travel to various health system locations.
  • Essential Functions

    1. Provides consistently exceptional care at all times.

    2. Provides assistance and support to Director of Nursing daily

    a. Daily meetings with Director of Nursing

    b. Assist with other tasks as needed

    3. Closes medical records after resident discharge and routes to Medical Records.

    4. Completes monthly review of Pharmacy invoices. Collaborates with Director of Nursing to ensure accuracy of bill.

    5. Orders supplies as needed.

    6. Logs staffing information monthly into the CMS Payroll Based Journal as required by regulations.

    7. Assists with Payroll and timeclock monitoring daily

    8. Maintains sick call audit and monitoring for all employees

    9. Distribute communications to staff; i.e. notices to staff, memos,

    10. Prepare and distribute staff memos

    11. Prepare weekly staff schedule; prepare available shift list every month

    12. Maintains and discards facility files, forms, etc. as appropriate

    13. Assists with maintaining organization of facility supplies, both medical and non medical

    14. Provides support with regards to Electronic Health Record.

    15. Maintains necessary regulatory monitoring of facility- provides weekly report i.e. HPPD, midnight census, discharges, etc.

    16. Assists with audits necessary for QAPI

    17. Assists with SNF and LTC billing duties :

    a. Run credit card statements monthly

    b. Coordinates with Finance

    c. Communicates with families regarding financial statements

    d. Double checks, prints and mails share of Cost statements to families

    e. Conducts audits of A / R regularly to ensure accuracy of information

    f. Attends weekly and monthly billing meetings with outside billing company and Director of Nursing

    g. Communicates frequently with outside billing company regarding issues to ensure correctness of invoices, balances, shares of cost, payment plans, etc.

    18. Schedules, prepares agendas and meeting minutes for required SNF meetings. i.e. QAPI, Antibiotic Stewardship, staff meetings, etc.

    19. Responds to the needs of the department by performing other duties, as necessary.
