Job Summary: We are seeking a highly organized and personable Administrative Assistant/Receptionist to join our team. This individual will serve as the first point of contact for visitors, clients, and staff while providing crucial administrative support to ensure smooth daily operations. The ideal candidate is professional, detail-oriented, and thrives in a fast-paced environment.
Key Responsibilities:
- Reception Duties:
- Greet and welcome visitors in a warm, professional manner.
- Answer, screen, and direct phone calls to the appropriate staff.
- Manage incoming and outgoing mail, packages, and deliveries.
- Administrative Support:
- Maintain and update records, files, and databases with high accuracy.
- Prepare correspondence, reports, and presentations as needed.
- Schedule and coordinate meetings, appointments, and events.
- Order and manage office supplies and equipment inventory.
- Office Operations:
- Ensure the reception area and common spaces are tidy and presentable.
- Support various departments with administrative tasks as required.
Qualifications and Skills:
- Proven experience as a receptionist, administrative assistant, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong communication and interpersonal skills.
- Exceptional organizational and multitasking abilities.
- Ability to maintain discretion and confidentiality.
- High school diploma or equivalent; associate’s degree or higher is a plus.
