Office Administrator for General Aviation Maintenance Shop

We are seeking a highly organized and proactive Office Administrator to support our maintenance shop operations. This role is crucial in ensuring smooth daily operations, efficient customer service, and accurate documentation. The ideal candidate will have strong administrative skills, excellent communication abilities, and a passion for aviation.
Key Responsibilities:
Scheduling & Coordination:
- Manage and optimize the maintenance schedule, coordinating aircraft service appointments.
- Communicate with customers to confirm appointments, timelines, and maintenance updates.
- Coordinate parts orders.
Billing, Payroll & Administrative Support:
- Generate and process invoices for completed maintenance work.
- Track payments and follow up on outstanding balances.
- Process payroll for employees.
- Maintain accurate financial and employee records.
Maintenance Documentation & Compliance:
- Ensure all maintenance records, logbook entries, and FAA-required documentation are accurately recorded.
- Assist in tracking inspections (e.g., annuals, 100-hour, and AD compliance).
- Support mechanics with proper documentation of completed work.
Customer Service & Communication:
- Serve as the primary point of contact for customers, providing updates on maintenance progress.
- Address inquiries, concerns, and scheduling requests professionally and efficiently.
- Develop positive relationships with aircraft owners, pilots, and vendors.
Qualifications & Requirements
- Previous experience in aviation, maintenance operations, or a related administrative role preferred.
- Strong organizational and multitasking abilities.
- Proficiency in office software (Microsoft Office, QuickBooks, or aviation maintenance software).
- Experience with payroll processing and financial record-keeping.
- Excellent communication and customer service skills.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Knowledge of FAA maintenance record-keeping regulations (preferred but not required).
-Ability to work in an environment with changing levels of temperature and noise. (Hangar.)

Pay: $18.00 - $20.00 per hour
