Position Overview:
The Client Service Associate (CSA) will play a critical role in supporting the firm’s advisors and ensuring exceptional client experiences. This position is ideal for a detail-oriented and proactive professional who enjoys working in a small, dynamic environment and is passionate about delivering excellent service.
This role is initially advertised as a contract/1099 position but may convert to a full time employee role.
Key Responsibilities:
Client Support:
- Serve as the first point of contact for client inquiries via phone, email, and in-person interactions.
- Provide high-touch service by addressing client requests, including account updates, fund transfers, and general inquiries.
- Maintain an understanding of client needs and preferences to ensure personalized interactions.
Account Management:
- Assist with account opening, maintenance, and closures, ensuring accuracy and compliance with regulatory requirements.
- Process contributions, withdrawals, and transfers for client accounts.
- Coordinate and monitor account paperwork, ensuring timely completion and submission.
Operational Support:
- Assist advisors with meeting preparation, including gathering and organizing client data, statements, and reports.
- Maintain and update the firm’s CRM system with client information and meeting notes.
- Monitor account activity and workflows to ensure tasks are completed efficiently and accurately.
Compliance and Documentation:
- Support the team in adhering to regulatory requirements by maintaining accurate client records and documentation.
- Assist with annual compliance reviews and audits.
Team Collaboration:
- Work closely with advisors and other team members to improve processes and enhance client service.
- Participate in team meetings, contributing ideas to improve client experience and firm operations.
Qualifications:
- Multi years of experience in a financial services or client service role, within an RIA or wealth management firm.
- Proficiency with financial systems, including CRM software (e.g., Advyzon, Salesforce), and Microsoft Office Suite.
- Experience working with multiple custodians (e.g., Schwab, Fidelity)
- Excellent organizational skills with strong attention to detail and accuracy.
- Exceptional communication skills, both verbal and written, with a client-focused mindset.
- Ability to multitask and prioritize in a fast-paced, team-oriented environment.
