Position Summary

The Production Administration Assistant works closely with the Production Manager and Production Coordinator within the waterproofing division. Your focus will be to ensure that jobs are ready for production. Key roles include scheduling trades, acquiring permits, and customer communication.

Essential Job Functions :

Permitting, Inspections, and Trade Coordination

  • Responsible for applying for and following up on all necessary permits.
  • Permit pick up and drop off, as necessary.
  • Schedule all necessary trades and coordinate with customers.
  • Schedule MISS DIG for all jobs that require digging.
  • Responsible for coordinating all necessary inspections for job completion.
  • Confirm all trades are scheduled prior to installation date.

Production Installation / Communication

  • Job confirmations prior to installation date.
  • Make homeowner aware of any install date changes.
  • Quality Assurance calls post-production.
  • Schedule site visits for production manager.
  • Communicate with Production Coordinator for issues or concerns.
  • Service & Warranty Scheduling

  • Coordinate and communicate warranty calls with homeowners and service tech / crew / production manager.
  • Escalate warranty as needed to Production Coordinator
  • Administrative Support

  • Ensures all paperwork, data entry, and correspondence is accurate, timely, and completed according to company procedure
  • Provides administrative support to other departments as needed.
  • Ensure customer service calls are executed with professionalism and we “created raving fans” per our core value.
  • Attend all necessary weekly meetings, providing updates to department leaders and team.
  • Performs other related duties as assigned by management.
  • Position Requirements :

  • Knowledge of customer service principles and practices
  • Ability to work under pressure and adapt to changing priorities.
  • Proficiency in Microsoft Office
  • Proficient in using a CRM
  • Ability to be well organized
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills.
  • Problem-solving and troubleshooting abilities
  • Strong verbal phone skills
  • Strong written communication skills
  • Ability to perform accurate data entry
  • High school diploma or GED preferred and 1 years of experience in customer service OR a combination of education and experience that illustrates a proven track record in this field
  • Valid Driver’s License with a clean driving record
  • On-computer screen time of 75-100%
  • Knowledge of construction or related trades and construction management is a plus.
  • Familiarity with production software or project management tools, is a plus.
  • Ability to understand and converse in Spanish, is a plus

  • Salary Range : $20.00 - $22.00 hourly
