As a Collision Center Administrative Assistant, you will be the first point of contact for customers visiting the collision center and will set the tone for providing the ultimate customer experience. Working as part of a team, you will be responsible for handling high call volume, answering customer questions, creating customer files, working closely with other employees in the office and shop.

 

Responsibilities:

 

  • Working business hours Monday - Friday 
  • Assist the fast-paced team
  • Greet all customers in a professional and courteous manner and assist them as needed, creating a warm and welcoming environment.
  • Builds and maintains good relations with the customers, to encourage their loyalty and obtain their recommendations.
  • Demonstrate a genuine compassion and concern for the well-being of customers.
  • Answers telephone calls quickly, and in a polite professional manner.
  • Manage phones and other correspondence (e-mail, letters, packages, etc.) and handle accordingly.
  • Assist customers after an accident with scheduling repairs, arranging a rental vehicle if necessary, and coordinating other services, such as tow service.
  • Create repair orders, job folders, and all necessary paperwork.
  • Finalizes all repair orders by comparing estimate amounts to the final invoice for all vehicles brought into the shop and obtains appropriate signatures.
  • Delivers the vehicle to the customer, ensuring that any deductible, taxes, or other charges are collected, and final invoice amounts are recorded and received.
  • Close repair orders in a timely manner and follow-up on
  • Post customer payments by recording cash, checks, and credit card transactions to appropriate repair order or accounts receivable.
  • Willingness to learn how to utilize CCC ONE, our total repair platform that combines estimating, workflow management and synchs insurance companies through a direct repair program.
  • Manage the production schedule in CCC ONE, in charge of getting cars to various stages of production such as check-in, detail and final inspection.
  • Schedule and track appointments, including follow-up calls on estimates or inquiries via our website.
  • Knowledgeable in Microsoft Office Suite for a multitude of tasks, including tracking loaners cars through excel and the office calendar.
  • Assist Collision Center Manager, Estimator and all other body shop employees.
  • Maintain a professional appearance and organized work area.
  • Attend to the cleanliness of the office and customer waiting room.

Qualifications

  • Experience in Front Line Customer Service role
  • Superior customer service attitude - prior experience in a fast-paced automotive industry ideal
  • Positive energy to greet customers, quickly identify their needs and communicate with the estimators.
  • High motivation to work for a luxury brand.
  • Ability to work within a team, maintaining focus and attention to detail at all times.
  • Excellent opportunity to move into other roles at the dealership.

Salary/Benefits

  • Pay rate: $30K-$40K
